Login to your McGill Workday account and apply to this posting using the Find Jobs report (type Find Jobs in the search bar).Position Summary:Under the direction of the Finance Officer of the Dean’s Financial Affairs Team, the Finance Administrator takes the role to support the finance functions within the Deanery that need additional assistance, with the emphasis on high priority transactional duties. As an integral member of the Financial Service Team (FST), the Finance Administrator will support the Financial Affairs Team by regularly monitoring the financial activity in all funds. The Finance Administrator will ensure compliance to all internal and external policies and regulations and will participate in ensuring a smooth functioning of the financial management of units within the Deanery. For research grants, the Finance Administrator’s responsibilities are focused on post award management. In addition, the Finance Administrator will be the back up to the rest of the Financial Administrators and Senior Accounts Administrator team of the Deanery. Moreover, the Finance Administrator is responsible for providing guidance to the Senior Accounts Administrator as well as local users/members of the AEC on matters related to the Faculty’s research and other portfolios they are involved in.Primary Responsibilities:Communicate University procedures as they apply to University funds to promote compliance with all applicable regulations and policies;Verify and approve Workday transactions to ensure that they meet University compliance and reconciliation of the Faculty’s fund to ensure pays are charged to appropriate funds.Verify and reconcile accounting and financial records, funds statements, expenditures, and budgets. Process and monitor financial and accounting transactions for the Deanery.Open and monitor donation and endowment funds and ensure compliance with the University’s policies. Ensure maximum spending on all funds.Liaise with University Advancement to assist with stewardship reports and to modify terms of agreements when required. Act as a key resource for University Advancement and finance managerial staff within the AECs, and Deanery.Liaise with the Graduate and Postdoctoral Studies office, preparing quarterly reports and validating budgets for Postdoctoral appointments.Prepare annual reports for the Medicine Admissions office regarding available budgets of entrance scholarships. Process entrance scholarships in Minerva.Assist in the preparation of annual Faculty-wide consolidated spending and variance reports. Contact the appropriate parties (AECs and other Deanery units, Central offices, etc…) to determine cause of variances and to determine forecasted spending.Provide relevant training to local users and act as a help desk where collaboration is necessary to roll out new systems, processes, or other tools which will facilitate faculty administration; this includes training finance managers in the AECs regarding donations and endowment funds.Perform duties as required by the Financial Officer and act as backup as required.Other Qualifying Skills and/or Abilities
Knowledge of accounting and financial management and experience administering a variety of funds and preparing detailed budgets. Understanding of McGill fund types (or other University), including experience working with scholarships and student awards. Service-oriented with excellent customer service skills. Proven ability to effectively communicate and interact with various levels of administrative staff and academics. Proficiency with computerized applications including spread sheets, databases, word-processing software, Banner FIS, Crystal reports. Knowledge of Microsoft Suite (Planner, Forms), Lime Survey, Excel Pivot table and formulas. Excellent analytical and problem-solving skills. Demonstrated ability to adapt to changing work environment. Flexible to work with various portfolios. Demonstrated organizational skills, ability to multi-task, prioritize and meet deadlines. Ability to work autonomously and as part of a team, or multiple teams at the same time, with ability to train staff. Proven success in facilitating and maintaining strong, consistent, and positive communications. This role requires a significant level of writing proficiency and the ability to articulate ideas clearly and effectively. Professional ability to convey complex information in a clear and concise manner. Strong grammar, spelling and editing skills. Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
