Job Purpose:

The role of the Finance and Admin assistant is to maintain the day-to-day finances and Admin of Dawlaty; This will require maintaining the books and records for all cash and bank transactions.

In addition, cash and bank management. The Finance and Admin assistant will also be responsible for reviewing and archiving all supporting documentation provided for the financial transaction and recording the transactions in the cash and bank books.

This position holder will be coordinating with the admin & HR officer in the purpose of archiving HR and admin documents in their respective folders.

Key Duties and Responsibilities:

Finance Duties:

  1. Processing Payments: Ensure timely and accurate processing of invoices, expense reports, and reimbursements.
  2. Responsible for documents archiving for the financial transactions as per Dawlaty policies and procedures.
  3. Archive and update HR & admin documents as per Dawlaty policies and procedures. Considering compliance with donor and internal rules
  4. Bookkeeping and keeping the daily financial transactions records updated.
  5. Monthly cash and bank reconciliations.
  6. Provide support when needed in financial report preparation, responsible for financial reports archiving in their respective folders.
  7. Providing support to the Finance and Admin to perform projects’ expenditures verification and external audits and collect the related documents.
  8. Any translation for financial documents to English or vice versa
  9. Assist in communicating with partners and grantees and ensure all their reports and documentation are complete at every stage.

Administrative Duties:

  1. Document Management: Organize and file important documents,
  2. Procurement Support: Assist with ordering office supplies and managing vendor relations.
  3. HR Support: Assist with maintaining employee records, contracts, and attendance.
  4. Travel Arrangements: Organize travel bookings, itineraries, and accommodations for staff and beneficiaries as needed.
  5. Asset Management: Maintain records of office equipment and ensure their proper use.
  6. Logistics Support: Coordinate with Admin teams for supply delivery and other operational tasks.
  7. Purchases tracking payments tracking sheets and other trackers for finance and Admin department; must be updated on time.
  8. Staff Support: Provide general administrative support to other departments as required.

Other Duties:

  1. Comply with Dawlaty’s policies and procedures
  2. Participate in regular meetings and write the meeting minutes.
  3. Any other tasks might be assigned.

Qualifications (Requirements):

  1. University degree (bachelor’s or equivalent) in accounting, business administration, or finance.
  2. At least 1 year of professional experience in line with the job requirements.
  3. Excellent command of spoken and written Arabic, and English
  4. Computer literate with good MS Office skills particularly Excel
  5. Familiar with working with financial systems.
  6. Ability to work with strict deadlines and under pressure alone and as part of a team.
  7. Attention to details.
  8. Strong interpersonal and communication skills.

Desirable:

1. I/NGO & donor relations/awards experience is highly desirable.

2. Experience with an international organization will be an advantage.
