About Aid Gate Organization “AGO”
Aid Gate Organization (AGO) is an independent, nonpartisan, national organization in Iraq whose history goes back to 2014 with the beginning of ISIL’s occupation in Iraq. At that time and throughout the mass conflicts occurring from 2014 onwards, ISIL groups took control of large swathes of the country, including Nineveh, Salah al-Din, Anbar, and parts of Diyala. This period witnessed an unprecedented wave of displacement for people who lived in these areas in addition to extreme human rights violations. With the Iraqi government, unable to provide much-needed, widespread assistance, many international organizations entered the country to facilitate a response. In doing so, local community members were actively recruited to assist in the movement and return of displaced people, while providing them with emergency life-saving assistance to meet their basic needs. Since 2014, AGO has been working untiringly to help Internally Displaced Persons (IDPs), returnees, and vulnerable host communities for the implementation of whole-of-community resilience-building measures in Iraq. Today AGO is functional in Salah al-Din, Kirkuk, and the Nineveh governorates, with 50–150 employees, depending on the situation in the region. We are currently working on expanding our operations into the Anbar governorate as well as southern Iraq through proven programs to rebuild the lives of men, women, children, refugees IDPs, minorities, ethnic groups, and persons with disabilities.
JOB DESCRIPTION
AGO is seeking a skilled Finance Assistant to join our team in Northeast Syria. The Finance Assistant, in coordination with the Finance Officer, supports the Finance Manager in ensuring the smooth running of day-to- day financial activities of AGO- North East Syria Office, in accordance with established policies and procedures. The Finance Assistant is responsible for handling petty cash and cashiering duties, preparing cheques and other payment documents, carrying out banking activities, maintaining financial records in an orderly manner, and assisting with other administrative and financial activities as needed.
Main Responsibilities
1. Assist Finance Manager in Checking expenditure reports and Vouchers for local partners and Capacity building for Partners and regular review of their reports and supporting documents.
2. Assist Finance Assistant in check bills and invoices before payment to ensure documents are accurately completed and approved with clear and specific charging notes and prepare vouchers for all payments, receivables, and adjustment entries.
3. Maintain General ledger GL (Cash and Bank books) on a daily basis.
4. Provide cash advances to program and Support staff and Monitoring & Updating Advance Truckers.
5. Ensure compliance of all payments with AGO and donors’ procedures.
6. Ensure timely and accurate tax and Social Security payments for North East Syria.
7. Act as the focal point between AGO and local banks to monitor the financial information, including bank balance, and transfer all payments needed.
8. Responsible for Scanning and Archiving all Documents on time and according to the AGO’s mechanism.
9. Assist Finance Manager with Audit preparations and visits.
10. Review and collect timesheets from all the staff and archiving it according to the AGO’s mechanism.
11. Any other related tasks as requested by Supervisor.
Qualifications & Preferred Skills
- Bachelor’s degree in Finance, Accounting, or a related field.
- Minimum of 2 years of experience in finance or accounting, preferably within the NGO sector.
- Familiarity with financial management for donor-funded projects.
- Excellent organizational skills and attention to detail.
- Strong understanding of compliance and financial reporting.
- Proficiency in financial software and MS Office.
