Project Assistant, Cote d?Ivoire

Reporting to the Country Representative, the Project Assistant provides close administrative support to the Project Manager in overseeing project operations. The role involves coordinating logistical and administrative tasks to ensure smooth project execution, maintaining documentation, and assisting with communication between stakeholders.

PURPOSE

The Project Assistant will ensure consistent quality support of the KOICA GENIE project across a range of deliverables, encompassing multiple processes from stakeholder engagement, to planning, coordination and project delivery efficiency. He/she will support the Project Manager to execute intricate multi-step processes in the administration, logistics, monitoring, evaluation, reporting, learning and planning levels of the project.

ENGAGEMENT
  • Organize logistics for internal and external meetings following a planned schedule of the project to sustain quality service of information for the project. Assist the Project Manager with administrative tasks related to project operations
  • Liaise with internal stakeholders (e.g., steering committee, technical working group, project team, etc.) regularly to collect input for project activity and communication content development to sustain and advance quality outputs of the project.
DELIVERY
  • Develop and maintain a current and up-to-date list of external and internal stakeholders of the project that include high-level officials of government, private sector companies, suppliers and vendors.
  • Coordinate the administration and logistics (flights, accommodation, per diems, venues, catering) of the project, in close working order with the country office Finance and Administration team and Project Manager.
  • Capture, draft and document meeting outcomes and action points for means of verification in high-level official engagements and technical meetings, conferences and workshops. These can also be captured under GGGI back-to-office reporting templates.
  • Support the Project Manager meet donor, GGGI reporting requirements of the project including weekly, bi-weekly, monthly, quarterly, semi-annual and annual reports.
  • Follow through with procurement, finance including budget and expenditure, and other performance-related activities of the project with support from the GGGI Senior Operations Officer and Operations-Enabling Development Focal Point on a regular (monthly) basis.
  • Work closely with the country office team members at national and subnational (provincial) level to collect and disseminate project data and information including communication and knowledge products
  • Support other GGGI activities and tasks that promote the objectives of the project.
  • Support the monitoring, reporting, evaluation and audit requirements of the project.
  • Lead the administration, logistics, and coordination of project activities and tasks.
  • Support the Project Manager in planning, coordination, finance, procurement and audit tasks.
REQUIREMENTS
QUALIFICATIONS
  • Undergraduate degree in Business Administration, Project Management, Finance, or Communication.
  • Previous experience with International organizations will be an asset
  • Knowledge of climate projects is preferred.
  • Preferred 1~2 years of relevant experience in project management, policy understanding, stakeholder engagement.
  • Proficient communication skills.
  • Must be fluent in spoken and written English and French.
FUNCTIONAL
  • In order to effectively engage with partners, stakeholders, including private sector companies, a good understanding of climate-related impacts on infrastructure, the policy landscape of climate change and infrastructure in CIV is preferred.
  • Broad network with works and highway stakeholder in CIV.
  • Experience organizing technical meetings that involve stakeholders from diverse sectors.
  • Demonstrated ability to work independently with minimal supervision to meet tight deadlines.

WORKING CONDITIONS 

The Project Assistant is a X4, national grade level in GGGI’s salary scale. For an X4 national grade, the base salary starts from USD 15,297. Determination of base salary is subject to candidate’s experience, academic background, and internal equity. Terms and conditions are to be reviewed in a case-by-case situation.
