Position Number: 00057674Description:About us:The Department of Mechanical & Industrial Engineering is home to about 60 professors leading research on a very broad range of topics. On the Industrial Engineering side, research areas include Operations Research, Information Engineering, Human Factors, and Applied Machine Learning, all of which seek to improve the systems we as humans rely on to navigate our world. On the Mechanical Engineering side, research areas include Robotics, Mechanics & Design, Materials, and Thermofluids, topics that are applied to applications including manufacturing, energy production, and bioengineering.We are also home to about 2,000 very talented students: about 1,300 undergraduates are enrolled in the Industrial Engineering and in the Mechanical Engineering BASc programs. We have about 350 Master of Engineering (MEng) students, a professional program for students taking courses with us for a year or two. Finally, we value each employee as an individual, and look for opportunities to recognize each contribution.Your opportunity:The incumbent will be responsible for advising research (MASc and PhD) students on financial matters, responding to inquiries, and preparing award acceptance and/or rejection letters to applicants. They will also be responsible for calculating and determining graduate funding packages for students and coordinating student financial awards for the department. Handling confidential information is essential for this position.Your responsibilities will include:

  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences.
  • Analyzing and making recommendations on award funding allocation.
  • Coordinating activities related to the preparation of annual graduate funding packages.
  • Tracking and monitoring distribution of awards and financial aid.
  • Ensuring that procedures and/or guidelines are followed.
  • Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors.
  • Keeping well-informed on changes to policies, procedures, collective agreements, and applicable legislated requirements.
  • Generating reports. Handling sensitive and/or confidential information.

Essential Qualifications:

  • Bachelor’s Degree or acceptable combination of equivalent education and experience.
  • Minimum three years of recent and relevant experience supporting students with financial matters.
  • Recent experience calculating graduate funding packages and advising graduate students on tuition, financial aid, awards, and other relevant financial matters.
  • Experience coordinating student financial award competitions and the recruitment of course/sessional lecturers in a university setting.
  • Experience working with databases, performing data entry, and producing reports in a high volume/high accuracy environment.
  • Proficiency with student information systems (e.g. Rosi, Degree Explorer, Slate), MS Office Suite (e.g. Outlook, Word, Excel and PowerPoint) and financial information systems.
  • Effective verbal and written communications skills; ability to understand complex information and policies and successfully translate them.
  • Demonstrated excellent customer service skills with a track record of sensitivity to student needs.
  • Proven ability to exercise judgement, tact, diplomacy, and a high degree of initiative.
  • Proven ability to work both independently and collaboratively, effectively engaging with diverse groups such as faculty, management, staff, and students to achieve cooperation.
  • Meticulous organizational skills and the proven ability to prioritize and work effectively in a fast-paced environment with strict deadlines and interruptions.
