Human Resources Assistant

The Centre is an innovation that seeks to respond government demands for technical support to strengthen their national capacities and knowledge on sustainable school feeding and to support them in the design and management of healthy and sustainable national school feeding and other hunger programmes. 

At WFP Brazil, we are looking for talented professionals to support the Human Resources Unit in Brasilia. As HR Assistant, you will work under the general supervision of the Senior Human Resources Associate, and work in close collaboration with the Support Services team to perform a range of HR tasks and support accurate implementation of WFP policies and procedures and facilitate the effective functioning of a client focused and strategy-oriented HR services.

Duties and Responsibilities:

Accountabilities: The HR Assistant will carry out various tasks pertaining to Human Resources, Administration and Finance. Within delegated authority and in accordance with respective WFP manuals, rules and regulations, you will provide effective support to the office on the following activities:

  • Provide assistance on general HR queries and follow up actions, to ensure consistent and high-quality HR services are delivered to clients.
  • Provide guidance and on-the-job training to other staff, to support their development and increased knowledge of HR systems and procedures required to perform their duties.
  • Liaise with other internal units/offices on HR related matters, i.e. payroll, contracts, etc. and provide necessary information to enable timely HR services.
  • Extract and compile HR data on staff recruitment and selection, contractual conditions, entitlements, performance and training requirements, to support analysis and reporting needs.
  • Provide administrative support in various HR activities in the areas of work allocated by the supervisor including onboarding of new employees in compliance with relevant processes and procedures.
  • Maintain confidential personnel records, HR databases and archives, to ensure data and files are accurately stored and updated in compliance with the established standards.
  • Draft various HR documentation required for the specific area of work ensuring accuracy and meeting established deadlines.
  • Use HR management systems for entering and updating a variety of HR data including assistance in monitoring various deadlines, ensuring compliance with the established deadlines and accuracy of HR data.
  • Support the recruitment, selection and hiring processes on all its phases.
  • Support the organization of presentations, events, webinars and workshops.
  • Perform other duties related to the functional area.

Expected Results: 

At this level job holders are expected to take responsibility for the completion of a full range of HR activities requiring some interpretation of standard guidelines and practices. Job holders are able to recommend a course of action within their area of expertise and may provide guidance to other staff.

Minimum qualifications: 

Education: University degree in Human Resources, Business Administration, Psychology or another related field is required. A post-secondary certificate in the related functional areas is an advantage.

Experience: 

  • Minimum 3 years of progressively responsible work administrative experience related to the activities mentioned, including at least one year in the field of Human Resources.

Language requirements:

  • Fluency in both oral and written communication in Portuguese and English, including ability to draft written correspondence in these languages. Working knowledge in Spanish is considered an asset.
