UNHCR, the UN Refugee Agency, is offering a part-time internship with the ICT under the Admin Division at UNHCR Warsaw Country Office (CO).

Established in December 1950, UNHCR is a global organization dedicated to saving lives, protecting rights and building a better future for asylum seekers, refugees, returnees, internally displaced communities and stateless people. Every year, millions of men, women and children are forced to flee their homes to escape conflict and persecution. UNHCR currently operates in over 130 countries, using its long expertise to protect and care for millions.

Organizational Context:
Poland’s eastern borders with Belarus, the Russian Federation and Ukraine serve as the European Union’s external boundaries. The country currently hosts over 1 million refugees from Ukraine, in addition to a smaller number of asylum seekers and refugees from different countries.

UNHCR has been in Poland for 30 years (since 1992), working with national authorities on refugee-related matters. With the Ukraine emergency, UNHCR has substantially scaled up its presence and operations. It currently has a Country Office and Frontex Liaison Office in Warsaw, three Field Offices in Warsaw, Lublin and Rzeszow, and a Sub-Office in Krakow, with a workforce of nearly 120 national and international staff.

The ICT Intern works under the direct supervision of a ICT Officer based in Warsaw CO. S/he has working relationships with UNHCR staff members in the office and other offices within the country.

The intern will have an opportunity to gain technical experience in the humanitarian sector. They will have a possibility to resolve basic service requests related to hardware and software systems such as Windows, Outlook, Microsoft Teams, SharePoint, etc. They would diagnose and resolve any issues with hardware, software, or connectivity and assist with scheduled service tasks, including equipment replacement, installation/de-installation, software installation, and LAN connections.

The Position:
Referred position is designed for individuals looking to gain practical experience in information technology within a humanitarian context. The intern will work under the guidance of the ICT Officer and primarily support the Admin/Finance Unit by addressing basic service requests related to hardware and software systems, diagnosing connectivity issues, and assisting with inventory management of IT equipment.

The ideal candidate for this internship should meet the following criteria:

1- Education: Must be a graduate or undergraduate student in a technical field, engineering, or a related discipline.

2- Technical Skills: Proficiency in Microsoft Office applications (including Access, Excel, Word, PowerPoint, and Outlook) are essential, Web and Mobile applications designing handful experience is also required. Familiarity with IT hardware and software troubleshooting is preferred.

2- Language Proficiency: Fluency in Polish is required, along with a good command of spoken and written English.

4- Personal Attributes: Candidates should demonstrate proactiveness, flexibility, adaptability, and excellent interpersonal skills, enabling them to work effectively in a multicultural environment.

Duties and Responsibilities:
1. Develop MS-SharePoint Dashboard to Support Admin/Finance Unit :

The intern would be responsible for developing an intranet service portal, similar to the existing ICT portal, to serve as a document repository. This would include statistical reports for the Admin/Finance Unit and potentially extend to other units like Supply and Programme. The intern would also provide general support as needed.

2. Provide Valuable Assistance with Hardware and Software ICT Support :

The intern would help resolve basic service requests related to hardware and software systems such as Windows, Outlook, Microsoft Teams, SharePoint, etc. They would diagnose and resolve any issues with hardware, software, or connectivity and assist with scheduled service tasks, including equipment replacement, installation/de-installation, software installation, and LAN connections.

3. Help with ICT Equipment Management and Inventory :

The intern would assist with unpacking, organizing, and storing incoming ICT equipment and accessories. They would help conduct physical verification of IT equipment and inventory counts of IT accessories, and assist in sorting, compiling, and storing equipment in accordance with work orders and equipment condition.

Minimum Qualifications Required:
In order to be considered for an internship, candidates must meet the following eligibility criteria:

– Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO; and

– Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR.

– Language skills requirements: English (at least B2), Polish (at least B2)

NOTE: An individual whose father, mother, son, daughter, brother or sister is a staff member of UNHCR, including Temporary Appointment holder or a member of the Affiliate Workforce, is not eligible for an internship.

Desirable Qualifications and Skills:
– Familiarity with IT hardware and software troubleshooting, in addition to networking basics.

– Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Access.

– Handful experience in web and mobile applications designing.

– Proactiveness, flexibility, adaptability, and excellent interpersonal skills to work effectively in a multicultural environment.

– Knowledge of designing tools to produce visually attractive documents will be an added advantage.

Conditions:
The UNHCR Country Office in Warsaw offers this internship assignments for a period of 3 months. It is a part-time role with working hours starting from 8.30am to 12:30pm/ 12:30pm-4:30pm or as agreed with the manager, from Monday to Friday (20 hours per week).

Administration:
Interns receive a monthly Food and Local Transportation Allowance (the Allowance), calculated in USD and normally payable in local currency via bank transfer. The monthly amount of the Allowance is: 50% of the monthly net salary of the GS level 3 step 1 in “H” duty stations.

Interns are fully responsible for arranging medical insurance covering the full internship period. UNHCR accepts no responsibility for any costs connected to medical insurance of interns. A copy of proof of a valid medical insurance covering the period of the Internship Agreement is required by UNHCR. UNHCR does not cover the costs of medical evacuation of interns; therefore, interns working in locations other than their country of residence must ensure that their medical insurance covers emergency medical evacuation. Furthermore, the medical insurance selected by interns should provide the necessary geographical coverage for both accident and illness.

Upon completion of the internship, interns are provided with an official UNHCR attestation letter and upon request and agreement with the supervisor a letter of recommendation. The incumbent will be required to hold a valid medical insurance covering the full period of the internship.
