The Headquarters in Geneva services the EFTA Council and provides services for policy development, negotiations and implementation of free trade and cooperation agreements with countries outside the European Union. The Brussels office supports the management of the EEA Agreement. EFTA’s Luxembourg office contributes to the development of the European statistical system.

Role Description

The Secretary-General’s Office (SGO) of the EFTA Secretariat services the EFTA Council and provides support and advice to the Secretary-General. It coordinates various horizontal activities in the Secretariat and provides legal advice, as well as statistical and economic analysis in support of free trade negotiations and policy development. SGO’s information and communication team is located in Brussels and works horizontally with all divisions, providing a wide range of services in communications and internal information and records management.

The Information and Records Management team is looking for a motivated and organised professional to support both the day-to-day operation of records management services and the implementation of a new records management system and digital archiving and preservation system.

Reporting to the Information and Records Manager, the Temporary Officer will contribute to records management, archiving, digital preservation, user support, project coordination and change management activities. The successful candidate will work closely with internal stakeholders to facilitate the transition to new systems and processes and support the effective management, preservation and accessibility of organisational information assets.

Main tasks and responsibilities

  • Provide user support for the current records management system and related information management processes;
  • Support the implementation of the new records management and digital archiving solutions;
  • Assist with the development, review and implementation of retention schedule, including records appraisal, retention and disposition activities, and support archival processing, description and preservation of digital records;
  • Contribute to the preparation of procedures, guidance, training materials and awareness activities in support of information governance and records management practices;
  • Liaise with internal stakeholders and support communication relating to records management and archival initiatives, including change management activities and user adoption efforts;
  • Support the implementation of information governance processes relating to the review, management and accessibility of organisational information.

The successful applicant may be assigned other tasks.

Experience

  • University degree in Information Science, Information Management, Records Management, Archival Studies or a related discipline;
  • 1-2 years of relevant professional experience in records management, archives, information governance or a related field;
  • Experience supporting information management projects, system implementations or change initiatives;
  • Experience with electronic document and records management systems and/or digital archiving solutions would be considered an asset;
  • Experience preparing procedures, guidance materials, training materials, reports or operational documentation;
  • Experience providing user support and/or delivering training would be an advantage;
  • Experience in archival processing, records retention and disposition, or digital preservation activities would be an asset;
  • Experience in an international or multicultural environment would be considered an advantage.

Skills

  • Good understanding of records management, information governance and archival principles and practices, including records lifecycle management, metadata management and digital preservation concepts;
  • Familiarity with recognised records management and archival standards (e.g. ISAD(G); ISO 15489; ISO 14721; ISO 16175; ISO 23081; etc.);
  • Excellent knowledge of SharePoint Online and the Microsoft 365 suite is an asset;
  • Strong organisational and coordination skills with attention to detail;
  • Good project coordination skills and the ability to work effectively with both business users and technical specialists;
  • Ability to manage multiple tasks and priorities effectively;
  • Strong interpersonal and communication skills;
  • Ability to work both independently and as part of a team;
  • Proactive, service-oriented and solution-focused approach;
  • Strong digital aptitude and ability to quickly learn, adapt to and effectively use new systems and technologies;
  • High sense of responsibility, discretion and confidentiality;
  • Fluency in written and spoken English (the working language of EFTA).

This position is open to EFTA nationals (Iceland, Liechtenstein, Norway and Switzerland) and EU nationals.

Grade: B3
Annual salary: EUR 51,321.84
