I. MSF INTERNATIONAL

Médecins Sans Frontières (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based only on need and irrespective of race, religion, gender or political affiliation. MSF International is the legal entity that binds MSF’s 24 sections, 26 associations and other offices together. Based in Geneva, MSF International provides coordination, information and support to the MSF movement, and implements international projects and initiatives as requested.

II. POSITION BACKGROUND

Access to Products for Healthcare (APH) is critical to MSF’s Social Mission. MSF has been engaged in a wide variety of ways to improve APH in the past decades. In 2023, the MSF International Board approved the set-up of a new organisational model for APH work in MSF. A central part of this model is the creation of an international Structure that supports the APH agenda, and is overseen by an Executive Board.

III. PLACE IN THE ORGANISATION

The Leadership Support Officer reports administratively to the Organisational Model Change Executive and works under the direction of the APH Structure Board and Executive Director.

IV. PURPOSE OF THE POSITION

The purpose of this position is to support the oversight and the implementation of the activities required for the set-up of MSF’s new APH Structure by organising internal meetings and other events, making sure all activities, discussions and outcomes are documented, and supporting new Structure staff in their onboarding

V. MAIN RESPONSIBILITIES

Guided by the Chairs of the Executive Board (SEB) and the Executive Director (ED), the position holder takes responsibility for the smooth operational and administrative functions of the SEB and optimal support to the ED.

The scope of responsibilities, for this position may evolve over time with the development of the APH Structure set-up.

Coordination and oversight Support:

  • Support the organisation of the SEB, Management Team and other key meetings related to the APH Structure, and attends those meetings as requested.
  • In collaboration with the SEB and ED, ensure minutes of these meetings are taken to promote an effective oversight for the SEB and ED.
  • Collaborate and coordinate with relevant OMC staff for minutes of the SEB and OMC meetings and other relevant documentation.
  • Maintain a dynamic overview of activities planned, including their progress and their timelines.
  • Update key documents for the SEB and ED where applicable.

APH Structure activities implementation

  • Support the recruitment and on-boarding of APH Structure staff.
  • Establish support needs with SEB members and ED, and implement support as agreed.
  • Lead the planning and execution of specific deliverables as directed.

Information management and reporting

  • Regularly update the SEB and ED of progress/issues related to the execution of specific deliverables.
  • Collate information and draft regular reports including those reports linked with specific deliverables.
  • Draft and refresh the framing of SEB/APH Structure deliverables as required.
  • Ensure internal programme information is filed appropriately.
  • Maintain and update the SEB SharePoint site and the SEB portal including:

o Proper folder structures

o Appropriate Internal programme information

Other

  • Advise the SEB and ED as required
  • Support the management of the SEB budget if required
  • Provide surge capacity support for other APH Projects if requested

VI.JOB REQUIREMENT

  • Significant experience in project management or coordination support to executive decision-making bodies for an international organisation.
  • Demonstrated experience and/or comprehensive understanding of internal information management.
  • Experience in report writing for senior leadership.
  • Full proficiency in English, spoken and written (other languages are considered an asset)
  • The ability to adapt, change prioritise and shift tasks at short notice.
  • Proficient in MS Office, including the use of management tools for administration and coordination purposes.
  • Strong interpersonal skills and the ability to work effectively within a team.
  • Experience working in a multi-cultural, diverse environment and across time zones.
  • Basic knowledge of general data protection regulations.
  • Experience in conducting or supporting research work (surveys, interviews and synthetizing outcomes) an advantage.
