Under the overall supervision of the Head of the Meeting Services and Interpretation Section (MS&IS) and the immediate supervision of the Supervisor of the Simultaneous Interpretation and Audiovisual (SI/AV) Unit, the incumbent will:
- Act as an autonomous Audio-Visual and Simultaneous Interpretation Technician across all meeting formats at IMO’s Plenary (Main Hall), smaller committee rooms, and flexible spaces used for meetings and events. The incumbent is responsible for managing their workload in the three control booths and other spaces during meeting weeks, which include regular sessions, intercessional sessions, working groups, and external hiring, in consultation with the Supervisor. Specifically, the incumbent will:
- Operate, test, and support all technical sound, video, and control equipment, which currently consist of: Televic Simultaneous Interpretation system, Shotoku robotic camera control, hybrid meetings platforms (including Busby automation, Zoom, RSI platforms, SLIQ Audio recording platform, and other systems.
- Properly setup in-person, virtual, and hybrid meetings in the system and carry out daily tests of the system’s hardware and software.
- During proceedings, operate audio, microphone, camera, and recording systems, monitor their status and provide technical support, as necessary.
- Conduct maintenance and daily set-ups of portable AV equipment, i.e. LCD sources, public address systems, media sound distribution centres, etc.
- Monitor systems, perform general maintenance tasks, and report potential problems to the Supervisor, providing technical insight and advice, and suggesting possible solutions to ensure the quality-of-service delivery.
- Liaise with, support, and coordinate with internal and external stakeholders, such as representatives of Member States and organizations, external clients, and the IMO Secretariat. This includes setting up and operating equipment, such as computers and laptops, and other media support equipment for presentations during both internal and external events.
- Respond to technical queries from delegations, the IMO Secretariat, and other stakeholders, and liaise with the Information, Communications, and Technology Section as needed. Develop maintenance documentation, end-user documentation, and training materials.
- Provide technical and administrative support to the Supervisor and collaborate with external contractors during scheduled maintenance visits in accordance with contractual terms and conditions.
- Oversee repairs and maintenance activities undertaken by external contractors, determine the appropriate corrective actions in close coordination with the Supervisor, and draft preventive maintenance schedules for equipment and systems.
- Oversee the reporting and monitoring of contractual performance for SI/AV equipment maintenance contracts placed with external providers by the Organization.
- Maintain the equipment inventory schedule up-to-date for all SI/AV systems.
- Assist with venue logistics and prepare all venues — permanently installed and temporary facilities as required for scheduled meetings. This includes setting up conference rooms prior to meetings with nameplates, stationery, audio hardware, software, etc., and assisting in the preparation of seating arrangements
- Maintain and prepare interpreters’ booths, assist interpreters in familiarizing themselves with new equipment, provide instructions and training to new interpreters, report the status of the equipment in meeting rooms to the Supervisor, and organize replacements if any components need replacing.
- During meetings, perform various meeting room attendant duties, including distributing relevant information to the team of interpreters in a timely fashion, passing messages to delegates, and assisting the Head of Section with various administrative tasks.
- Perform any other tasks as required.
