Description We are offering a contract to hire employment opportunity for an Office Assistant in Madison, Wisconsin, United States. The selected candidate will be a part of our Real Estate & Property industry team. The Office Assistant will be responsible for various administrative tasks, including managing customer inquiries, scheduling maintenance requests, and assisting with other office functions.
Responsibilities:
• Handle incoming calls and provide excellent customer service to clients and residents.
• Check and respond to property emails in a timely and professional manner.
• Schedule maintenance requests and coordinate with the necessary departments for timely resolution.
• Greet residents and visitors, providing a welcoming and professional environment.
• Handle income changes from tenants and update the records accordingly.
• Use Microsoft Office Suite, including Excel, Outlook, and Word to manage and organize office functions.
• Perform clerical duties and correspondence as necessary.
• Utilize computer skills to maintain accurate customer credit records.
• Assist with billing functions and ensure accurate processing of customer credit applications.
• Occasionally travel to nearby properties for posting notices, utilizing personal transportation. Requirements • Minimum of 1 year of experience in an office setting, preferably within the Real Estate & Property industry
• Proficient in Microsoft Office Suites including Microsoft Word, Microsoft Excel, and Microsoft Outlook
• Demonstrable knowledge of office functions and billing procedures
• Capable of performing clerical duties such as filing, typing, copying, binding, scanning etc.
• Excellent customer service skills, with the ability to interact professionally with clients and colleagues
• Experience in managing correspondence via mail or email
• Strong computer skills, including the ability to learn new software and systems quickly
• Basic office skills such as organizing, multitasking, and prioritizing work
• Familiarity with the software ‘About Time’ is a plus
• High level of accuracy and attention to detail
• Ability to work independently and as part of a team.
