Our client in the West Island is currently looking for an office clerk and administration for a part time permanent position. This role will consist of various administrative tasks such as answering client phone calls, invoices, data entry and filing. They will also have many other tasks that are described in the role.Advantages
Monday-Thursday 8AM-3PM or Flexible (Start day/time)
24-30 hours a week
$20-22/hr
Contract to hireResponsibilities
Will open mail once per week
Will enter new suppliers in Quick Books
Will scan all suppliers’ invoices into Receipt Bank:
o Upload Bills, Receipts, Invoices & Bank Statements; On the Go from Your Phone or Laptop.
o Easy Automation for Collecting, Processing & Publishing Receipts & Invoices. No More
Paper. Receipts, Invoices & More. Secure Digital Storage. No More Data Entry. Will prepare and print checks monthly: every 15 th of the month.
o Each check will have an invoice
o Purchase order
o Copy of invoice with sign of approval
o Have checks signed and then file all documentation by supplier.
 Answer phone calls for the club and take messages.
 All general office duties; plus, balance petty cash on a weekly basis.
 Will take payment via credit card; e-transfer and e-deposits for the members.
 Will process the cash application in Anemone and then send the member a receipt of proof of
payment
Will make sure that all credit card receipts are attached to the credit card statement on a monthly
basis. Will then scan into Receipt bank.
Will assist in audit to give our Year Auditors copies of invoices or bank accounts.
Will print Ceridian payroll reports on a bi-weekly basis and send copy to Receipt bank.
Will also act as our board secretary to take minutes from our board meetings and then enter it in
word.
Will print Invoices and send to members on the following periods:
o January of each year (membership and Mooring)
o October of each year (haul out – storage)
Will prepare and record invoices from April to Oct of each year:
For gas purchases
Office sales (T-shirts; flags, Mask.)

Shore MembersQualifications
Experience in administration
Word, Excel, Microsoft knowledge
English spoken with functional French (spoken and written)
Data entry experience
