Full time position based in the European Movement International office, Brussels.

We are looking for a highly motivated Operations & Finance Manager, a driven and experienced professional with a background in managing the finances of complex organisations, to join our multinational team at our office at the heart of the EU quarter.

This position involves close collaboration with the Secretary General, the Head of Partnerships & Projects, as well as colleagues involved in policy, communication and events, to ensure the highest possible impact of the activities across the organisation.

Key responsibilities

Finance

  • Prepare and monitor the organisation’s annual budget;
  • Process payments and keep monthly accountancy;
  • Liaise with the external Accountant and the Auditor;
  • Issue invoices for the membership fees;
  • Produce monthly financial and management reports.

EU Grants Management

  • Review correctness of project expenditures;
  • Verify financial reports from partners;
  • Monitor submission and verify timesheets by EMI staff;
  • Assist in planning and implementation of EU projects.

Human Resources

  • Liaising with the Social Secretariat (update on contracts, tracking & registering sick days, holidays, other leaves);
  • Ordering meal vouchers;
  • Issuing new contracts, filing requests for CIP contracts/VISA;
  • Registering employees to the collective benefits (health insurance, pension plan…).

Administrative tasks

  • Managing the relationship with EMI suppliers and contractors;
  • Ordering office supplies;
  • Be the contact point for matters related to the EMI premises;
  • Publishing EMI’s Governance updates in Moniteur Belge;
  • Ensuring all the equipment is running efficiently and is properly maintained.

Requirements for the role

Essential

  • 3+ years’ experience in similar roles;
  • Experience in accounting and budget management;
  • Understanding of Belgian law & legal requirements;
  • Analytical and problem-solving skills;
  • Oral and written communication skills in English and French;
  • Organisational skills to set up and manage processes, work to deadlines and prioritise workload;
  • Advanced Excel skills;
  • Negotiation and inter-personal communication skills;
  • High attention to detail;
  • Experience in managing EU grants;
  • Committed to EMI’s vision.

We offer

This position is a CDI full-time contract in Brussels.

A salary between 3.400 € and 3.800 € gross, depending on experience.

An attractive benefits package, including a 13th month salary, lunch vouchers, an additional 10 days of holidays per year, pension scheme, hospitalisation insurance, working from home allowance and public transport allowance.

To carry out the job, the team member must be registered in Belgium. The job is subject to EMI’s teleworking policy, which allows for hybrid working.
