The educational programs span multiple training sites and are distributed to clinical academic campuses and affiliated regional centers across the province. With the increasing number of learners in the Department of Pediatrics, enhanced administrative coordination between all distributed sites, diverse training experiences and central University Administration is required for the delivery of this Pediatric Program.This position is responsible for educational programming development and delivery for the Pediatrics Residency Program and ensures that the training meets UBC Faculty of Medicine & Royal College of Physicians and Surgeons curriculum guidelines. The main functions include development, implementing and tracking, and evaluating education activities, training plans, and delivery of teaching sessions. This position is also responsible for all related educational programming services including lead role as the chief communicator and writer, coordinates the analysis of teaching data, and acts as the primary liaison between the Department of Pediatrics Program Directors & Education Managers on education programming delivery, staff training, and policy & process advisement. This position works with faculty to ensure that database information is accurate and troubleshoot and correct information as needed.Organizational StatusThis position reports directly to the Program Manager, Undergraduate and Postgraduate Medical Education, UBC Department of Pediatrics. The incumbent will take direction from and work closely with the Residency Program Directors, UBC Department of Pediatrics.This position is expected to work independently with minimal guidance, and works closely with Program Directors, Program Coordinators, Program Assistants, as well as preceptors of the postgraduate program. This position also interacts with outside agencies such as Provincial Health Services Authority and The College of Physicians and Surgeons of British Columbia.This position deals with sensitive, restricted, confidential matters and consults with the Department of Pediatrics Program Directors and Education Managers on complex issues.Work PerformedInterprets curriculum requirements for the Residency Program, and works directly with Program Directors, Dept. of Pediatrics Central Education, & PGME to design, develop, and write program training plans that meet all programs’ goals and objectives within policies and procedures established by the university.Leads the programs’ educational delivery support services, in collaboration with the Program Manager and other Education Program Staff, in distributing, tracking, evaluating, and reviewing over 75 Resident Trainees’ data, across BCCH & Provincial training sites. Oversees remedial trainee meetings and correspondence as appropriate.Writes business plans for new projects & assumes a project management role as appropriate, identifying project opportunities and overseeing the launch of new initiatives. Oversees the development of course assignments and examination materials.Acts as the lead coordinator to the Department’s Pediatrics Residency training program and assists Program Directors, Program Manager, other senior faculty, and the administrative leadership positions within these Programs by coordinating Program operations.Independently researches, prioritizes, and follows up on multiple issues and concerns identified by PGME, Program Directors, and Program Manager as they relate to Residency medical education, including those of a sensitive or confidential nature, and determines appropriate courses of action, referral, or response. Collaborates and consults with senior faculty and administrative leadership as appropriate.Recommends to faculty leadership and Program Manager systems and procedures that can improve efficiencies for the programs.Works independently to provide/respond for all stakeholder communications including Resident Trainees, hospital-based teaching faculty, faculty at distributed sites across British Columbia, administrative staff within the Department, and at the Faculty of Medicine Dean’s Office.Autonomously coordinates and allocates logistical resources for Orientation days, academic half-day sessions, and the recruitment of faculty speakers. Proactively identifies and resolves issues related to the execution of academic sessions.Translates and coordinates the analysis of teaching data from weekly/monthly schedules submitted by the Program and provides a quarterly annual report of faculty teaching activities and submits the data to the Faculty of Medicine teaching payment processes.Coordinates RPC committee and other Program planning meetings, develops agendas and prepares appropriate materials and presentations, attends meetings, and ensures follow-up actions are completed.Acts as a resource for leadership, informing of new developments that are related to the committees and meetings that this position oversees.Supervises Education administrative staff within the Department of Pediatrics Education Office, in the absence of the Education Management Team. Coordinates with other administrative staff and assigns work as appropriate.Provides support to colleagues in the Department Medical Education Office during absences and as required.Performs other duties as required.Consequence of Error/JudgementThis position requires effective organizational planning and management skills to provide ongoing improvements and upgrades to all aspects of education activities of the Residency Program, delivered by the Department. Failure to represent one’s role in a professional way would diminish the credibility of the Department’s Education Programs.Supervision ReceivedReports to Program Manager, DoP; takes direction from & works closely with Program Directors. This position is expected to work independently with minimal guidance.Supervision GivenActs as a work leader & advisor to the Program Assistant, Pediatrics Residency; assigns relevant program support tasks to Health Authority Clinical Secretaries.Minimum Qualifications
University degree in a relevant discipline.
