Summary:

The Practice Administrator manages the administrative, financial, and operational activities of clinical practice site(s). The Practice Administrator provides administrative leadership to the executive team, medical faculty, and staff in formulating and implementing organizational goals and objectives. This position is directly responsible for daily administrative aspects of the practices’ clinical activities, related outpatient operations, budgets, finances, marketing, and public relations. Manages the implementation, direction, and policy development in areas of finance (revenue/expense management), professional fee billing, and general facility operations. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Required Job Qualifications:

• Bachelor’s Degree required; Master’s degree preferred.

• At least five years of relevant healthcare, hospital, or patient care delivery experience required. Prior experience working in an academic medical center preferred.

• Prior people management experience strongly preferred.

• Strategic leadership and business plan development experience.

• Ability to drive departmental growth and market share.

• Ability to anticipate problems/issues in a complex environment and mitigate the impact on the department.

• Strong communicator with ability to influence providers and staff.

• Able to develop trust and credibility with staff and providers.

• Keeps up with current development and trends in the area of expertise.

• Proficient with the Microsoft Office Suite.

Responsibilities:

• Provides department leadership to achieve RUMC and RUMG strategic priorities, goals, and change initiatives. Influences the development and implementation of short and long-term strategic plans for the Department. Develops long-term strategic & operational staffing plan.

• Maintains a collaborative relationship with physicians, departmental providers, administrative, academic, clinical, and research leaders regarding operational, marketing, and strategic issues.

• Translates goals into actionable business tactics that are aligned with the strategic plans of the department, the medical group, the hospital, and the medical center.

• Engages physicians in a manner that supports best clinical practices and promotes effective management of clinical and financial resources.

• Identifies industry opportunities and threats and recommends strategies to address. Consults with colleagues for best practices and industry trends. Determines the value/cost benefit of resource investments for future growth of the service line.

• Initiates proposals for improved market position, patient experience, operational efficiency, and patient safety with input from department leadership. Oversees clinical, business, and academic operations including implementation and adherence to policies and procedures, patient experience, safety, and quality goals.

• Monitors key performance indicators, scorecards, patient feedback, and financial reports at a departmental and individual level to ensure the data and that the department remains on course to meet or exceed operational goals. Provide feedback to department leadership and faculty for any potential corrective actions.

• Partners with department leadership to support achievement of provider goals, research study success, and appropriate resident and student experience. Tracks and reports physician driven revenue and expenses.

• Provides oversight of staff and faculty including compliance with ICARE values, department, RUMG and RUMC procedures and workflows, and completion of performance review process, on-boarding/off-boarding, credentialing and re-credentialing.

• Participate in the physician recruitment and pro-forma development process.

• Responsible for hiring strong talent with appropriate competencies and skill mix. Monitors staff recruitment, talent development, and performance management.

• Monitors staffing metrics including turnover, key retention indicators, and orientation practices.

• Structures work environment that is supportive of a highly engaged and effective work force. Monitors physician and employee engagement and makes recommendations to improve work culture as necessary.

• Encourage employees to understand Rush goals and industry trends by attending town hall meetings, conferences, and community events.

• Identifies opportunities to expand employees’ professional knowledge and responsibilities and supports their career aspirations.

• Maintain regular, two-way communication with staff to understand their work issues and concerns and to build their understanding of Rush and the department.

• Ensures financial performance of department is consistent with institutional practices and budget expectations. Prepares and manages annual operating and capital budget for the department.

• Partners with department leadership in monitoring trends and underlying patient experience issues and institutes Practice changes to resolve problems. Monitors and addresses patient experience feedback.

• Ensures safe work environment and creates an environment that puts patient at center of practice.

• Participates in institutional quality assurance or quality assessment programs.

• May ensure that patient issues/complaints are properly resolved as applicable.

• Responsible for achievement of all compliance, regulatory, joint commission, ECOG/UNOS/OSHA adherence, and other regulatory body requirements.

• Understands and effectively uses EPIC, and other systems and software databases to achieve goals.

• Implements policies, practices, and standards that model and reinforce the Rush mission, vision and values as well as the patient centered/patient first care model. Advocates a culture of Inclusion.
