Reporting to the Senior Director for Academic Services and with a dotted line to the Dean for the Interchange Program, the role involves program planning, scheduling, faculty coordination, contract negotiation, student services, event logistics, and client support. The position requires flexibility in work hours, including weekends and occasional travel, and demands a high level of service for executive students and senior government officials. Strong attention to detail, the ability to anticipate needs, and adaptability in service delivery are essential, along with contributions to process improvements and support for promotional activities.DutiesRecruiting and AdmissionsMeet with walk-ins to provide an overview of Executive Masters Programs.Support Recruitment and Admissions team by organizing and attending info sessions (e.g., Fort McMurray, company sites).Ensure program website content is accurate and current.Assist in creating and posting content for Alberta School of Business social media.Support recruitment and admissions processes during peak periods.Program Management and Student ServicesDeliver exceptional student service, offering customized support when needed.Serve as primary liaison with external service providers (e.g., hotels, Keyano College).Coordinate logistics for courses, orientations, events, and receptions (e.g., scheduling, bookings, travel, catering, materials).Manage course and event planning: instructor coordination, venue and equipment bookings, and speaker arrangements.Maintain and organize course materials, instructor bios, and program libraries (both digital and hard copy).Order and distribute course materials and textbooks, ensuring timely delivery.Coordinate exams and assist with speaker series and special events.Provide registration support: enroll students, monitor academic progress, and process academic changes.Interpret and apply university policies (e.g., registration, grades, academic standing).Liaise with the Faculty of Graduate and Postdoctoral Studies to ensure accurate student records and processing.Evaluate student eligibility for convocation and prepare completion reports.Maintain records and reporting systems (e.g., PeopleSoft, shared drive databases).Ensure communication of key updates and deadlines to students.Manage event logistics (e.g., orientation, convocation, alumni events), including invitations, venues, catering, and surveys.Government Interchange ProgramManage all aspects of the Government Interchange Program.Coordinate speaker needs and event logistics (e.g., bookings, travel, catering).Respond to participant inquiries and manage onsite logistics (e.g., setup, brochures, registration).Gather post-event feedback and conduct surveys to improve future events.Qualifications
