Essential Duties and Responsibilities:

  • Contributing and collaborating in the successful management and supervision of assigned projects to achieve efficient and responsible program administration.
  • Contributing to the preparation and development of project plans (detailed implementation plan, procurement plan, human resources plan, spending plan, etc.) for projects under direct management and sharing them with the direct manager for approval.
  • Ensuring effective project implementation that fulfills contractual obligations, including all partner/donor policies, procedures, rules, and regulations.
  • Ensuring that the assigned projects align with the needs of the community and beneficiaries.
  • Ensuring that assigned projects are implemented with appropriate quality based on relevant standards such as Sphere, CHS, CaLP, etc.
  • Assisting in managing project budgets, understanding, and handling financial reports.
  • Managing the team effectively and distributing tasks fairly and clearly in collaboration with the program coordinator/manager.
  • Ensuring proper documentation and collection of program/project data in collaboration with the program coordinator/manager.
  • Maintaining appropriate communication with partners, donors, or contributors in coordination with supervisors and managers within program management.
  • Exchanging information with donors, key and sub-sector groups, other NGOs, and coordination structures.
  • Ensuring appropriate risk management, including financial, safety, security, programmatic, and reputational risks.
  • Ensuring the submission of all narrative and programmatic internal and external reports (weekly, monthly, interim, and final) within the agreed timelines to relevant stakeholders.
  • Following up on project activities (procurement, payments, technical meetings, human resources, partner meetings, activity implementation).
  • Building the capacities of relevant project teams in technical and administrative aspects based on training needs assessments.
  • Conducting periodic/final evaluations for relevant project teams according to approved templates in coordination with the Human Resources department.
  • Representing the program and organization in relevant internal and external meetings in coordination with program management.
  • Attending required trainings as assigned by the program manager.
  • Contributing to building the technical and administrative capacities of the field program team in coordination with the program manager.
  • Traveling to follow up on activities and attend meetings as requested.
  • Attending periodic meetings with direct supervisors, subordinates, and relevant colleagues to discuss and review the latest updates.
  • Performing essential administrative tasks in collaboration with the Human Resources department, such as developing and periodically updating job descriptions, conducting performance evaluations, capacity-building plans, attendance monitoring, recruitment processes within the department/section, and supporting coordination with the HR department on staff-related matters and motivating the team to adhere to them.
