Organizational Setting
The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.
Reporting Lines
The Programme Assistant will work Under the overall supervision of the FAO Representative and direct supervision of the Assistant Representative (Programmes).
Technical Focus
The incumbent will provide programme support towards the operational implementation, monitoring and reporting on assigned the programmes/projects.
Tasks and responsibilities
The Programme Assistant will support the implementation of the Jordan country office programme. More specifically, the Programme Assistant will:
• Collect and prepare data and (background) information in the areas of FAO’s activities in the country (agriculture, forestry, fisheries, rural / sustainable development); review and edit the information in the appropriate format.
• Initiate and follow up on a broad variety of administrative and logistical actions necessary for the timely implementation of the project activities including supporting the execution of HR related administrative tasks, supporting the travel requests, arranging the training and workshops, briefing schedules, assist in procurement of equipment, works and services as well as partnership agreements through LoA/MoU etc.
• Support the project team in preparing project communication and advocacy material (including briefs, agriculture sector and food security updates, humanitarian profiles for donors, key stakeholders, headquarters and senior management), ensuring projects activities and outputs are well highlighted and presented.
• Participate in internal meetings, facilitate information sharing, assist in planning and coordination of internal activities.
• Detailed monitoring and reporting on expenditures associated with in-country activities.
• Contribute towards coordination of office support services towards meetings, trainings, seminars, committees, and special projects and events; attend meetings, prepare minutes, monitor follow-up activities; make arrangements for formal editing, translation, etc., of documents and publications.
• Assist in monitoring projects activities cases other for which responsibility is assigned to.
• Monitor and maintain relevant information and databases on training, workshops, missions and seminars.
• Assist the Programme Team on Field Programme Management Information System (FPMIS) related matters in coordination with the FPMIS Focal Point.
• Participate in project implementation and monitoring by preparing the work plan and budget.
• Prepare correspondence to verify data, answer queries, and obtain additional information on transactions and operational matters, as required. Organize meetings including venues, facilities, catering and security clearances and provide administrative and logistics support at these events.
• Assist the Programme Team in utilizing the Programme Planning Implementation Reporting and Evaluation Support System (PIRES).
• Assist the country office with Country Project Activity Information Database (PAID)
• Assist the country office with OPIM management monitoring and implementation Coordinate the preparation, submission, revision and follow-up of the Programme work and budget and the monitoring and the provision of information on the implementation of the projects.
• Provide overall Programmatic support to all Programme Team.
• Contribution to the drafting and upkeep of the programme Dashboard.
• Upkeep of schedules and records
• Provide administrative and logistics support at meetings and events as required.
• Performing any other duties as required
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
• University degree in one of the following fields directly related to FAO’s activities: Agriculture, Forestry, Fisheries, Rural Development, Environmental Science, Food Security, International Development, Public Administration, Business Administration (with a focus on project management)
• Minimum of 2 years of experience in project management or a related field.
• Working knowledge of English and Arabic

Selection Criteria
• Experience working in an international development setting is a strong asset.
• Experience working with the UN system, particularly FAO, is highly desirable.
