This position is located within the Crime Prevention and Criminal Justice Section (CPCJS), Division for Operations Treaty Affairs (DTA), United Nations Office on Drugs and Crime (UNODC) in Vienna. The Programme Assistant will work under the direct supervision of the Chief of the Crime Prevention and Criminal Justice Section/DTA and in close consultation with the management of the Section’s Global Programme. Responsibilities
Within limits of assigned authority, the Programme Assistant is responsible for the following duties: • Support the Chief and her/his Office with all financial and administrative matters. • Assist in the coordination of programme planning and preparation work for the management of CPCJS’ Global Programme for People-centred Crime Prevention and Criminal Justice (GLOJS8). • Monitor status of programme/project proposals and receipt of relevant documentation for review and approval. • Compile, summarize, and present financial and administrative information/data for the Section. • Review project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identify inconsistencies; distribute project documents to relevant parties upon approval. • Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system. • Serve as focal point for administrative coordination of GLOJS8 implementation activities, involving extensive liaison with diverse organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of personnel, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services. • Compile, summarize and enter data on project delivery; draft related status reports, identifying shortfalls in delivery, budget overruns, etc., and bring to the attention of management. • Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets. • Provide general office assistance; respond to complex information requests and inquiries; review, log and route incoming correspondence; set up and maintain files/records; organize meetings, workshops; handle routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc. • Provide guidance/training to new/junior staff. • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assist with visualizations and updating information material such as web pages or brochures. • Perform other work-related duties as assigned.

Work Experience
A minimum of five years of experience in general office support, administrative services, programme/project administration, technical cooperation support or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher. Work experience with ERP (Enterprise Resources Planning) systems is required. Working experience with SAP/Umoja including the Integrated Planning Management and reporting system (IPMR) is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Special Notice
This position is temporarily available for 364 days. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.
