Together we are more than 5,000 dedicated faculty, librarians and staff supporting the University of Victoria’s diverse academic programs, world-class research and commitment to civic engagement.*This position is eligible for a Hybrid Work Arrangement*Job SummaryThis position serves the Department of Educational Psychology and Leadership Studies as the Programs Assistant and provides secretarial assistance to the department Academic Unit Advisers.Working closely with Graduate Admissions and Records and Undergraduate Admissions, the Programs Assistant handles work related to students taking EPLS graduate or undergraduate programs. This includes: processing and distributing applications; pre-screening and assessing applicants for the admissions committees, preparing offer letters and tracking the acceptance status of offers; advising graduate and other prospective students on department and university regulations; setting up and maintaining files, lists, reports and spreadsheets; assisting students with registration issues; adding and dropping students; processing registration overrides; and preparing and processing various administrative forms; collates awards and nominations information; preparing statistical information on various aspects of programs in the department; TA allocation and postings; tracking and scheduling of candidacy and oral exams; and monitoring students’ progress. This position attends committee meetings, is responsible for minor department website updates and completes other duties of similar scope and complexity as required.Job RequirementsExperience:A minimum of three (3) years of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training and experience.Knowledge/Skills/Abilities:
- Ability to work independently and as a team member in a professional and conscientious manner

- Strong organizational and advanced secretarial skills including extensive experience with word processing, database and spreadsheet applications
- Excellent verbal and written communication skills
- Able to prioritize responsibilities with a multi-faceted workload and provide accurate results with a minimum of direct supervision; demonstrated ability to effectively manage large volumes of work and meet tight deadlines in a work environment that experiences frequent interruptions
- Demonstrated organizational and analytical/problem solving skills
- Ability to handle difficult interactions with tact and diplomacy; exercise independence, initiative and good judgement
- Resourceful, able to adapt to changing environment; positive attitude
- Good organizational skills including attention to detail, time management and ability to multitask
- Proficiency with computer applications (i.e. MS-Office Suite, Adobe Create Suite, etc.)
Specialized Knowledge/Education:Secondary school graduation or equivalent.Assets/Preferences:
- Knowledge of, Banner, FAST-Student, Cascade, AIRS, CAPP
- Knowledge of both undergraduate and graduate student experiences, regulations, policies, etc.
- Other assets include demonstrated experience in a university graduate studies and/or undergraduate environment and experience working with UVic graduate and/or undergraduate policies and regulations.
