Contract: 12 months Fixed Term / Part time (0.8FTE / 28 hrs per week)

Location: Central Bristol office

Salary: £25,000 – £27,000 p.a. (pro rata) Salary dependent on experience

To support integration with the Bristol Green Capital Partnership team, we require candidates
to be available to work on Tuesdays and ideally also on Wednesdays.

About the role

The Project and Operations Coordinator will provide support and initiative across a
wide-ranging programme of membership engagement events, activities, and collaborative projects
– whilst contributing to the ongoing development and implementation of organisational policies
and processes to enable the organisation and its employees to thrive.

Responsibilities include coordinating several membership forums to support collective action
and collaborative working (‘Sustainable Transport Network’ and ‘Waste and Resources Action
Group’), delivering impactful events for the wider membership such as the regular ‘Green
Mingle’ networking event and working to share insights and inspiration with audiences by
creating interesting content and promoting through social media channels (Twitter, Facebook,
LinkedIn).

Working closely with the Head of Operations, the post holder will also have an opportunity to
contribute to the development of internal HR policies and implement effective operational
processes, as well as contributing to our internal Climate Action Plan and Just Transition
working groups.

This post is offered on a fixed term basis, providing additional capacity to the organisation
during a very busy period of project delivery – with an opportunity to extend subject to
funding.

Main responsibilities

Programme delivery

  • Coordinating several membership forums to support collective action and collaborative
    working (‘Sustainable Transport Network’ and ‘Waste and Resources Action Group’), including:
    • Overseeing governance of the groups, including recruitment of Chairs
    • Contributing to agenda planning, liaising with guest speakers
    • Strategic forward-planning to support the groups ongoing impact and connectivity to
      other areas of the Partnership’s programme and city-wide activity
    • Managing contact lists and communicating with groups
    • Preparing papers, booking rooms, or setting up online meetings
    • Minute-taking and annual reporting
  • Working with the team and leading on agreed aspects of programme delivery, including the
    regular monthly ‘Green Mingle’ networking event and other larger-scale events or workshops,
    including:
    • Creating agendas, preparing resources and communication materials
    • Liaison with collaborators, sponsors, venues, and caterers
    • Promoting events via the website and social media channels
  • Leading on delivery of one-off collaborative workshops and projects which align with our
    organisation’s mission, (previous examples of projects include Homes Under the Microscope and
    Nature the Healer) and supporting our ongoing secretariat for the One City Environment Board
    (working with the Head of Operations)
  • Supporting and informing our programme and influencing work through research if and when
    required, which may include desk-based research using a range of existing sources and producing
    summary reports.
  • Working with the comms team to support the promotion of our projects, events, and resources
    via social media.

Operations support

  • Working with Head of Operations to support operational processes, including:
    • Contributing to the development of HR policies
    • Implementing processes to support efficient implementation (e.g. recruitment,
      equalities, diversity and inclusion policies, wellbeing policies, Climate Perks)
    • Helping to organise team and Board meetings, staff training and away days
  • Contributing to programme and business planning processes

Person specification

Applicants for this role should be able to demonstrate:

Essential

  • At least 2 years’ experience in project coordination / support
  • Experience in organising a range of events or meetings
  • Experience of facilitating or chairing meetings
  • Strong organisational skills and ability to multi-task and prioritise to meet deadlines
  • Self-motivated, able to work both independently and as part of a team
  • Competency in the use of IT systems, such as Microsoft 365 Business
  • Awareness of the environmental sustainability issues currently facing the Bristol
    city-region and the broader national and global agenda
  • Demonstrable experience of working to improve equality, diversity, and inclusion
  • Effective and inclusive communication skills to engage a diverse range of audiences, using
    a range of approaches
  • Experience of monitoring and evaluation, including the ability to report on and communicate
    impact
  • Ability to use social media channels (e.g. Twitter, LinkedIn, Facebook) confidently and
    effectively

Desirable

  • Experience of uploading website content and using email marketing software e.g. Mailchimp
    (or equivalent)
