Localisation : BrossardWe are looking for an organized and professional Receptionist and Administrative Assistant to join our team. Based at the head office and reporting to the Executive Assistant to the General Manager, the candidate will be responsible for managing the operations of the reception, providing administrative support to the management office and the various departments and ensuring the efficiency and smooth running of the day-to-day operations of the office. As the first point of contact for visitors, the successful candidate will also be expected to provide exceptional customer service and possess strong communication skills.ResponsibilitiesReception Management:Greet visitors, customers and employees in a friendly and professional manner;Respond to inquiries and provide accurate information to visitors and employees;Maintain a clean and organized reception area, ensuring that it reflects the professional image of the company;Coordinate the booking and installation of conference rooms.Administrative Support:Provide administrative support to the senior management team, including assisting with the preparation of expense reports, scheduling meetings, appointments and travel;Manage the inventory of office supplies and place orders as needed;Assist in the coordination and organization of company events;Organize and maintain electronic and physical files and records.Communication and Correspondence:Manage incoming and outgoing mail, including sorting, distribution and processing of deliveries;Participate in the maintenance of the company’s digital and physical archiving systems;Participate in the drafting, proofreading and editing of internal communications such as emails, memos and letters to HQ-based staff.Office Operations:Coordinate catering orders for the head office;Collaborate with the relevant departments to ensure the smooth flow of information and tasks;Monitor and maintain office equipment, report any malfunctions and arrange for necessary repairs or replacements, liaising with vendors and service providers;Participate in maintaining and updating employee contact lists and company directories.Qualifications:Bilingualism English/FrenchHigh school diploma or equivalent; Additional certification in office administration or a related field is an asset.Proven experience as a receptionist, administrative assistant or similar function.Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.Excellent oral and written communication skills.Strong interpersonal skills and ability to build positive relationships.Attention to detail and a high level of accuracy.Ability to maintain confidentiality and handle sensitive information with discretion.Familiarity with office equipment and basic troubleshooting.Flexibility to adapt to changing priorities and work independently or as part of a team.This position offers the opportunity to be part of a dynamic team and contribute to the smooth running of our headquarters.
