The Secretariat Associate oversees and implements processes within Shareholder Relations and Governance, ensuring adherence to established protocols and governance standards. The role involves independent decision-making based on precedents and experience, specialized service delivery, and coordination with stakeholders.

Responsibilities:

•    Oversee and implement entire processes within the specialized area of Protocol, ensuring consistent practice and adherence to standards across the Bank.
•    Identify exceptions and act independently to resolve them, using precedents and experience as a guide.
•    Prepare and coordinate high-level engagement events and official ceremonies (e.g., high-level dignitary visits to the Bank, Opening Ceremony of the Annual Meeting, Ambassadors Luncheon, AIIB Member Day and Flag Ceremony for new Members), ensuring their alignment with organizational standards and timelines.
•    Serve as the focal point for communication with diplomatic missions and government authorities of AIIB Members, coordinating high-level visits and ensuring alignment with expectations.
•    Provide protocol advice to various departments, ensuring consistent application of protocol standards across the Bank.
•    Engage with other teams during the preparatory stage of events to identify requirements, deliverables, and timeframes, ensuring effective coordination and execution.
•    Organize and deliver high-level events and meetings, including preparing concept notes, official correspondence, briefing notes, and other key documents.
•    Ensure the effective implementation of protocol arrangements for high-level meetings and ceremonial functions involving senior management.
•    Conduct evaluations of high-level events and produce post-event outputs that conform to organizational standards and priorities.
•    Guide outsourced staff in the successful execution of their work.

Requirements:

•    University degree in international relations, public administration, political science, or a related field is preferred.
•    Certification or training in protocol, diplomacy, or event management would be advantageous.
•    At least 3- 5 years of work experience in the field of Protocol, high-level events management, executive office, and diplomatic missions 
•    Excellent communication skills, both written and verbal, with the ability to interact effectively with a wide range of stakeholders.
•    Strong organizational and project management skills, capable of managing multiple tasks and meeting tight deadlines.
•    Detail-oriented with strong analytical skills to evaluate processes and events critically.
•    Excellent cross-cultural communication and diplomatic skills.
•    Strong attention to detail.
•    Ability to mentor and guide junior staff.
•    Excellent verbal and written communication skills in English.
