The Prompt Clinic is an innovative program developed to provide short-term mental health assessment and treatment with an interprofessional team of psychiatry, psychology, social work and nursing offering rapid access to emergent mental health concerns. Referrals to Prompt are received through Primary Care Providers only. All services are be provided virtually at this time, with a move to include in-person care within 2023.Duties:
- Provide administrative and secretarial support to outpatient clinicians.
- Schedule appointments using electronic scheduling system.
- Create and maintain effective procedures to support activities of the Clinic (consultation appointments, clinical team meetings, statistics tracking, etc.).
- Responsible for telephone communications and answering/ redirecting enquiries.
- Perform general office duties such a filing, photocopying, sending faxes and ordering office supplies.
- Prepare requisitions for printing, stores, work orders, etc.
- Input data into clinic database and scheduling system
- Use network technology efficiently (electronic file management, data base management, email, appointment scheduling registration, chart closing, chart ordering, etc).
- File client records, policies, procedures, etc.
- Organize special events and activities.
- May be requested to assume responsibility for the scheduling of virtual meetings or of in person meeting rooms.
- Work in a manner that is in compliance with staff and patient/client safety practices, policies and procedures of The Royal.
- Ensure a work environment that is conducive to The Royal’s Anti-Racism, Harassment and Discrimination Free Workplace policy.
- Other duties as assigned.
Qualifications:
- Completion of OSSD or equivalent.
- Office Administration or equivalent College certification and/or diploma OR relevant combination of education, training and experience (minimum experience two years full time secretarial or clerical experience in a medical environment).
- Knowledge of medical terminology.
- Minimum three years’ experience in the secretarial field.
- Typing skills 45 words per minute minimum, with high accuracy level.
- Proficiency in latest versions of standard office software applications including Internet Explorer, Windows, Microsoft Word, Excel, Outlook, Meditech or other patient registration/booking system, and with office equipment (fax, copier, voice mail).
- High level of initiative and judgment.
- Excellent communication, organization, problem solving, and customer relation skills, with the ability to relate to persons with mental illness.
- Excellent time management skills with the ability to prioritize and meet firm deadlines.
- Must be able to multi-task and work with multiple interruptions
- High level of attention to detail and commitment to ensure accuracy of work.
- Ability to work independently as well as a team member, and work cooperatively with other secretaries as well as research and clinical staff from a variety of disciplines.
- Valid G driver’s license and access to a reliable vehicle.
- English level A- is mandatory in oral expression/comprehension, reading comprehension and written expression. French level A- is mandatory in oral expression and oral comprehension.
