Our client, a leader in their field, is looking for a talented Senior Administrative Assistant with Executive Assistant (EA) experience to join our Edmonton office for a 3-month term starting ASAP. This role may be extended or transition into a permanent position.Reporting to the Chief Operating Officer (COO) and working closely with the Corporate Secretary, the successful candidate will play a key role in supporting C-suite executives in a fast-paced, professional environment.This position will sit at the reception desk, with limited foot traffic, and requires a highly adaptable, proactive, and detail-oriented individual with mail merge experience.Responsibilities:Board & Meeting Coordination:

  • Prepare subsidiary board agendas and assist in updating related board packages.
  • Assist with management meeting materials and draft agendas.
  • Provide minutes, distilling key points from discussions.
  • Coordinate catering for meetings.

Administrative Support:

  • Handle mail (opening, sorting) and perform online bank deposits.
  • Proofread documents, compose emails, and manage records.
  • Monitor and replenish office and kitchen supplies.
  • Process credit applications and manage filing systems (physical and digital).
  • Mail merges for mass communications.

Requirements:

  • Experience: Minimum 10 years in administrative support, including experience with C-suite executives.
  • Technical Skills:
  • Proficiency in Microsoft Word, including corporate templates, multi-level styles, section breaks, tables, and mail merges.
  • Intermediate Microsoft Excel skills: creating formulas, managing data, and sorting.
  • Strong Microsoft Outlook capabilities.
  • Ability to convert Word documents to PDF.
  • Soft Skills:
  • Exceptional verbal and written communication skills.
  • Detail-oriented with strong proofreading abilities.
  • Able to work independently and manage a busy workload.
  • Positive, flexible, and eager to learn.
