The Senior Officer – Membership and Executive Office Management is responsible for various key areas within the organization. In terms of Membership Engagement Services, the role involves recruitment and retention of members, development of membership strategies, and ensuring representation at key events. Additionally, the position requires providing support to national and regional committees, managing customer relationship management systems, and updating membership information regularly. In terms of Executive Services and Advisory Support, responsibilities include providing management services for the Regional Director’s office, developing briefs, offering executive advisory services, and supporting strategic planning efforts. Furthermore, the role involves supporting resource mobilization, project development, governance activities, and coordination of forums and congresses. This position plays a crucial role in the organization’s operational efficiency and strategic development.
SPECIFIC DUTIES
KRA 1: Membership Engagement Services
1.1 Recruitment & Retention of Members
• Support the develop and implement the Oceania Membership Engagement Strategy.
• Develop IUCN Oceania Offerings Package for Members.
• Lead on ORO’s membership drive and advocacy in collaboration with the Regional Director and the Regional Programme Manager.
• Liaise and communicate with interested organizations on how to apply to become a Member of the Union; including following through with application processes.
• Ensure details and requirements for membership application is complete and submitted to UDG; Circulate Membership applications and decisions of Council and Bureau.
• Ensure membership drive is aligned with programme offerings and services by ORO.
• Ensure that regional members are well represented at the Worlds Conservation Congress and related Congresses and related events.
1.2 Support for National and Regional Committees
• In close collaboration with Regional Director and Regional Programme Manager, provide support and information that National and Regional Committees will require to function efficiently.
• Manage CRM and update details and membership requirements regularly.
• Manage and update Union portal ensuring up-to-date information on the Oceania membership.
KRA 2: Executive Services and Advisory Support
• Provide management services and support for the office of the Regional Director
• Lead the development of briefs for the Regional Director as necessary in collaboration with the RPM and Senior Programme Coordinators.
• Provide executive advisory services for the Regional Director.
• Develop and update Membership Profiles for ORO.
• Support coordination of any special projects as deemed necessary by the Regional Director.
• Support strategic planning – advice process and undertake policy planning and initiatives for the realization of organizational vision and programmes.
• Interface for RD internally and externally [stakeholders, non-government organizations, and partners, dignitaries and maintain relations with host Government, Fiji
• Represent Regional Director in engagements as Regional Director deems necessary
KRA 3: Strategic Support for Programming and Resource Mobilisation
• Support the resource mobilisation efforts by ORO.
• Provide institutional support for the Office of the Regional Director and the Management Team as is necessary.
• Support project development and design relating to operational aspects of GEF activities, such as project cycles, concept and PIF processes and proposals, ensuring consistency with national plans and priorities and facilitating GEF coordination, integration, and consultation at country level.
• Contribute strategic and operational advice to IUCN Oceania Programmes and IUCN Members in the development and design of programmes and project proposals.
KRA 4: Governance, Regional Forum, Congress & Commissions
• Support the IUCN Union Development Group Governance team in distributing communications relevant to members at the regional and national committees.
• Support the coordination of regional membership forums and activities including the Oceania Regional Conservation Forum.
• Support the World Conservation Congress where needed.
• Provide support to the Commission focal points on a needs by needs basis.
