Job description
Responsible for the effective business operations associated with Streetlighting Capital, Operating and Maintenance programs. Responsibilities include: managing the complete life cycle of capital projects, third party projects or maintenance programs from project issuance to closure. This role will include schedule development & maintenance, data gathering, data analysis, identifying gaps and trends as well as producing reports related to the Streetlighting Capital, Operating and Maintenance Work Programs. The incumbent will develop processes, procedures and tools to ensure governance and compliance in the delivery of the work program. The Analyst will also develop databases and automated reports to assist leaders and external stakeholders in the efficient and effective management of the capital work programs and provide support to the ongoing responsibilities of the Streetlighting group.KEY RESPONSIBILITIES:
- Analysis of gaps and trends for various programs and portfolios.
- Responsible for supporting the team with the management of projects including analytics, reporting, reviewing and processing invoices, project change requests and track spending versus budgets.
- Responsible for preparing customer quotations and ensuring invoicing is up to date with customers.
- Participates in pre and post construction meetings to ensure safety management and adherence to standards and quality, schedule attainment and resourcing.
- Works closely with assigned third-party auditor to ensure compliance with all required processes and procedures and follows-up on any issues hindering the progress of projects.
- Assists the Manager with establishing and measuring contractor performance (including non-conformance reports, compliance to Toronto Hydro practices/policies/standards), identifying issues and solutions to close gaps as required.
- Responsible for project closure, including final project cost true-ups and project cost accruals.
- Coordinates work flows for Toronto Hydro’s streetlighting maintenance inspection program with an eye on improving and/or automating the process. This includes tracking the issuance and return of project folders, material ordering, and maintenance scheduling.
- Liaises with internal and external stakeholders to assist in the successful coordination and delivery of program execution.
- Identifies gaps and trends and performs analyses to determine root causes and develops recommended solutions.
- Gathers data, performs data analysis and creates reports while ensuring accuracy of data.
- Leads and participates in process improvement initiatives as well as process mapping activities in support of departmental continuous improvement programs.
- Creates and maintains reporting applications, forms and customized databases.
- Performs periodic analysis and monitoring of operations data for the purposes of quality assurance.
- Supports the development of rate applications to the regulator including, preparation of narratives, assisting with responses to interrogatories and supporting witness preparation needs related to Capital/Maintenance Execution Work Programs.
- Participates in corporate wide initiatives to support overall business strategy.
- Performs additional duties as assigned
REQUIREMENTS:
- Undergraduate degree in Business, Engineering, or relevant field.
- Five (5) years of experience in data analysis, gap analysis, reporting results, process improvement, identification of areas for improvement and development of new initiatives.
- Models customer focused behavior in all actions and decisions, particularly when interacting directly with customers.
- Advanced working knowledge in MS Office including Excel, PowerPoint, Visio and Project.
- Experience using and developing processes in project management tools, such as, ClickUp, Jira or a similar tool.
- Exposure to ESRI ArcGIS or similar Geospatial Information Systems (GIS) is desirable.
- Excellent communication and presentation skills.
- Project Management Professional (PMP) designation is an asset.
- Excellent analytical and business solution development skills, including the proven ability to function effectively in a dynamic environment.
- Able to develop Key Performance Indicators (KPI) and Balanced Scorecard to track/monitor progress of different aspects of a business.
- Able to proactively flag At-Risk areas of business based on analysis of data and KPIs.
- Knowledge of process design and re-engineering techniques.
- Experience using data integration tools, such as, Alteryx.
- Awareness of project/program management processes, principles and methodologies.
- Advanced knowledge of writing SQL queries to support data analytics, including strong understanding of database structures.
- Creative, innovative, forward thinking, takes initiative.
- Good understanding of business issues and challenges, specifically in a customer service environment.
- Ability to develop dependable feedback systems and tracking.
