Login to your McGill Workday account and apply to this posting using the Find Jobs report (type Find Jobs in the search bar).Employment opportunity (regular, full-time position) available in the Faculty of Agricultural & Environmental Sciences, at Macdonald Campus’ Student Affairs Office, located in Ste-Anne-de-Bellevue.Position Summary:Under the direction of an Associate Director, is responsible for the administration and accurate maintenance of student records for undergraduate students registered in programs offered at the Macdonald Campus. Respond to complex student records inquiries, maintaining extensive knowledge of the Faculty’s five degrees and their specific requirements. Manage the Faculty’s four exam sessions (final and deferred exams) per academic year. Directly supervise administrative or casual employees. Ensure application of regulations and systems that are complex.Primary Responsibilities:Act as knowledgeable resource person for undergraduate student records for all academic units in the faculty; provide guidance to academic advisers, professors, administrative staff and students. Interact with other faculties/units regarding procedures and regulations. Advise Student Affairs Office’s staff regarding student record policies and procedures. Provide guidance to any SAO staff members who support records processes such as course registration permits, grade submissions and other student records matters. Resolve administrative or systems problems encountered by students. Recommend process improvements as needed.Review records of newly-admitted students eligible for advanced standing and transfer credits at time of admission; ensure accuracy and completeness. Process advanced standing credits as well as transfer credit requests for newly-admitted students and for current students taking inter-university, exchange or term-away courses.Responsible for processing a variety of requests and transactions (e.g. course substitutions, equivalencies, program changes, inter-faculty applications, re-admits, course and university withdrawals). Ensure that admission requirements are noted for each degree at time of transfer. Make adjustments/corrections to computerized records when needed. Act as expert user of Banner SIS/Minerva in the unit, and provide assistance to the SAO team with using Banner SIS for their own processes.Participate in the administration of overall student affairs activities and service delivery to the Faculty’s student population. Participate in the review and analysis of student files/records near end of term, leading to determination of program completion and eligibility for graduation.Manage administration of final and deferred examinations held at Mac Campus (Fall and Winter exams, plus Deferred exam sessions in march & August). Responsible for the hiring and scheduling of invigilators; approve entries of worked hours in Workday. Keep up-to-date with AGSEM collective agreement.Directly supervise administrative or casual employees. Participate in the recruitment process, including interviewing and selection. Conduct regular meetings to provide training and coaching, assign work, set deadlines, monitor quality of work, and evaluate probationary or trial periods. Review and approve vacation and absence requests.Assist/participate in any special events coordinated through SAO, such as but not limited to, Convocation, Orientation, etc.Other Qualifying Skills and/or AbilitiesProven organizational, communication, and customer service skills. Demonstrated ability to interact with students, and all levels of staff. Ability to work independently and as part of a team. Demonstrated ability to work in a computerized environment, using a variety of software, the Internet, MS365/Office, navigation in Workday. Must possess “expert level” experience with use of Banner SIS/Minerva.Knowledge of French: Must be fluent in verbal communication, and advanced in written communication.Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
