The Permanent Representation of the Republic of Malta to the European Union is looking for a highly motivated applicant for the full-time position of Support and Administrative Assistant.

Role and Responsibilities:

Under the supervision of the Head of Administration, the successful candidate is required to perform secretarial, administrative and support tasks, and assist in internal and external activities/events. He/she will be expected to undertake duties in support of the various units of the Permanent Representation.

Duties include, but are not limited to:

  • Carrying out a wide range of front-of-house and office administrative tasks;
  • Event management and providing support as required during event(s);
  • Providing support to diplomatic staff when/if the need arises;
  • Managing diary, appointments and providing general support as necessary.

Selection Criteria include:

  • Excellent organisational and time management skills, including attention to detail;
  • Ability to take initiative and exercise discretion as evidenced through work-based examples;
  • A flexible attitude in response to changing priorities and deadlines;
  • Knowledge of Microsoft Office Suite (Outlook, Word, Excel, Teams) are considered an asset;
  • Good command of English is required; knowledge of French and other Belgian languages are also considered an asset.

Evidence of the following would be considered an asset:

  • Experience in working in a team within a multi-disciplinary environment;
  • Work experience with/within other Permanent Representations, EU institutions or similar organisations and/or environments;
  • A reference letter from the last employer.

Applicants are to fulfil the following Minimum Eligibility Criteria:

  • Unrestricted legal right to live and work in Belgium/the EU;
  • English language proficiency (written and spoken) at B2 level upwards in the Common European Framework of Reference for Languages (CEFR);
  • Post-secondary education attested by certificates.

The starting gross annual salary is €32,960 paid locally on a monthly basis, which increases periodically upon renewals through payable increments subject to satisfactory performance, up to €50,622.83. The contract will be subject to the relevant provisions of Belgian law with respect to tax, labour and social insurance.
