TEAM ASSISTANT

Org. Setting and Reporting
This position is located in the Administration Unit at the ECLAC Subregional Headquarters for the Caribbean located in Port-of-Spain, Trinidad and Tobago and covers 26 Member Countries and Territories of the Caribbean. The Team Assistant reports to the Administrative Officer. The Economic Commission for Latin America and the Caribbean is one of the five regional Commissions of the United Nations. It was founded in 1948 with the purpose of contributing to the region’s economic and social development. Its mission includes the design, monitoring and evaluation of public policies and the provision of advisory services, expertise and training to Governments, as well as support for regional and international cooperation and coordination activities. Responsibilities
Within limits of delegated authority and depending on location, Team Assistants at this level may be responsible for the following duties: • Provides general office support services to help ensure the smooth service delivery from the Administration Unit to all ECLAC staff • Uses standard word processing package to assist in the production of a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. • Assists all substantive units with simple translations of official correspondence and other printed materials. • Provides policy advice and supports all ECLAC staff on record management, filing, archiving, and retention of official documents and on the use of the Organization’s mail and pouch services. • Distributes, tracks distribution and forwarding of correspondence • Reviews, records, routes and/or processes mail or other documents (incoming mail, parcels, and the diplomatic pouch); gathers pertinent background material; tracks and monitors follow-up action as required. • Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. • Maintains files (both paper and electronic) and databases for work unit. • Updates and maintains customized distribution lists; assemble documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services. • Performs basic data entry and extraction functions. • Checks accuracy of simple calculations, codings, data, etc. • Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.). • Supports the operation of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc. • Delivers mail/messages. • Performs other duties as assigned.

Education
High school diploma or equivalent is required. NOTE: For positions in the General Service category, candidates are required to clearly indicate in their Applicant Profile (AP) relevant information confirming completion of High School.

Work Experience
Two years of experience in general office support or related area is required. The minimum years of relevant experience is reduced to zero (0) for candidates who possess a first-level university degree or higher. Experience in clerical support is required. General services experience including translating simple documents and drafting according to the UN Correspondence Manual is desirable. Record management and archiving, mail and pouch operation is desirable. 1 year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of Spanish is desirable.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

– Appointment for positions in the General Service category is done on a local basis.
