Introduction

[SCOPE OF TENDER……]

It is desired to have a transcription support solution in place for Plenary transcription available to the various working that is in line with modern  practices and allows for the production of a timely, complete and accurate record of proceedings.  

The firm must support an entire digital production process of the proceedings and publication of a digital edition and dissemination of the transcribed record.  Staff must be able to do all their work from workstations located at the relevant section, which are connected to the relevant network and intranet.  

The firm must support the Conference Hall LIVE digital recording of audio; centralized storage of audio files; and, the LIVE retrieval and use of the digital audio files by the end users, the transcribers from within their offices.

 

  1. Ensure Accurate Documentation of Proceedings:
  • Provide timely, complete, and precise transcription of live and pre-recorded content, including speeches, panel discussions, and plenary sessions.
  • Annotate transcripts to capture contextual events such as applause or unclear segments.
  • Support Digital Production Processes:
    • Facilitate the seamless integration of audio and video files into transcription workflows using modern digital tools.
    • Automate processes for distributing audio segments to transcribers and merging transcripts into unified documents.
  • Enhance Accessibility and Inclusivity:
    • Format outputs to meet accessibility standards, including line-numbered transcripts and multilingual subtitles (English, Spanish, French).
    • Ensure compliance with disability-inclusive communication standards, such as clear formatting and alt-text for visuals.
  • Enable Efficient Storage and Retrieval:
    • Establish systematic storage of digital audio files from Bosch plenary conference systems on network servers.
    • Provide indexing, classification, and electronic search functionality for easy retrieval of documents.
  • Deliver High-Quality Outputs Within Tight Deadlines:
    • Produce finalized documents ready for publication within 24 hours of event completion.
    • Collaborate with G20 teams to ensure alignment with branding guidelines and dissemination requirements.
