Duration of contract: 1 year with the possibility of extension subject to availability of funds and satisfactory performance.

OVERVIEW OF THE FUNCTIONS OF THE POST

Background:

The EU-supported project “Preserving Ukraine’s Jewish Documentary Heritage, Honouring Collective Memory, Enhancing Knowledge and Access to Archives while Promoting Intercultural Dialogue” aims to preserve and enable access to cultural and documentary heritage of the Jewish community in Ukraine, while fostering the recognition of such cultural heritage and its valuable contribution to the diversity of expressions and history of Ukraine. It also addresses the urgent need to further foster archival heritage protection and safeguarding, through digitalization, risk management, preventive conservation, digital restoration, and to contribute to making them accessible to researchers and wide public. Acknowledging the cultural and historic relevance of the Jewish contribution in forging Ukraine’s culture, the project also aims to facilitate its use and interpretation in media, arts and academic projects. The project is now at the final stage of negotiations.

Main duties and responsibilities:

The incumbent works under the overall supervision of the Kyiv Desk Head of Office and the functional guidance of the Communication and Information (CI) Sector including the the international CI Project Officer in Kyiv, as well as the Unit on Documentary Heritage and the Section on Freedom of Expression, supporting the implementation of the UNESCO/EU project “Preserving Ukraine’s Jewish Documentary Heritage, Honouring Collective Memory, Enhancing Knowledge and Access to Archives while Promoting Intercultural Dialogue” (the Project).

Specifically, the incumbent shall:

• Provide administrative and logistical support to Project’s activities in Ukraine.
• Draft and assist in preparing background documents, meeting agendas, invitations, correspondence, minutes, forms, briefing notes, presentations, and other relevant documents in English and Ukrainian.
• Ensure administrative and logistical support in organizing meetings, conferences, missions, including travel authorizations and make travel arrangements, and other relevant project activities.
• Support Project’s communications and outreach by drafting web stories, tweets, press releases, brochures, publications and any other communications material in cooperation with UNESCO communications teams.
• Support communication and implementation efforts in highlighting the project-related events by drafting event agendas, background documents, speeches, talking points, letters and any other material as requested.
• Informally translate documents from either Ukrainian/English into the other language and assist with interpretation in relevant meetings.
• Develop and maintain Project’s knowledge management (e.g. database and contact lists), and assist with the dissemination of key information with UNESCO’s partners.
• Provide general office assistance, receive, register, review and draft correspondence, emails.
• Undertake other tasks as deemed relevant by the direct supervisor and/or UNESCO CI management.

Organizational environment and partnerships:

  • The Senior Project/Communication Assistant will work closely with the National Project Officer, the international CI Project Officer.
  • The Project/Communications Assistant’s main internal contacts will be the Kyiv Desk colleagues, the CI sector team at HQ. The external contacts will be implementing partners, consultants, suppliers, relevant authorities and other project partners in Ukraine.

Expected results:

• Administrative and logistical support to project activities in Ukraine provided.
• Background documents, meeting agendas, invitations, correspondence, minutes, forms, briefing notes, presentations, and other relevant documents in English and Ukrainian drafted and prepared.
• Administrative and logistical support in organizing meetings, conferences, missions, and other relevant project activities provided.
• Web stories, tweets, press releases, brochures, publications and communications materials drafted;
• Project-related events highlighted, event and meeting agendas, background documents, speeches, talking points, letters prepared;
• Files, records, and correspondence in a systematized manner and in close coordination with UNESCO Headquarters and UNESCO Desk in Ukraine tracked and maintained.
• Documents from either Ukrainian/English into the other language informally translated and certified, and assistance with interpretation in relevant meetings provided.
• Project databases and assist with the dissemination of key information with UNESCO’s partners developed and maintained.
• Tasks deemed relevant by the direct supervisor, the Liaison Officer and/or UNESCO CI management undertaken.

REQUIRED QUALIFICATIONS

Education

  • Completed secondary, technical, or vocational education.

Work Experience

  • A minimum of five (8) years of work experience in providing administrative and communications support to projects teams.

Skills and Competencies

  • Ability to manage information objectively, accurately, and confidentially.
  • Flexibility and adaptability to work schedules and priorities according to workload, emergencies, and deadlines.
  • Ability to design, work and execute tasks independently with thoroughness, care, and method.
  • Excellent interpersonal skills and the ability to work effectively in a team.
  • Profound communication skills, ability to express ideas in a concise manner and excellent drafting skills in English and Ukrainian.
  • Good understanding of means and style of communication of a UN agency and ability to draft different types of material (social media, webstories, reporting, etc).
  • Ability to establish and maintain effective working relationships in a multicultural environment.
  • Very good knowledge of IT skills (Microsoft Word, Excel, PowerPoint, Intranet, Internet, etc.) and communications tools (social media).

Languages

  • Excellent knowledge (written and spoken) of English and Ukrainian.

DESIRABLE QUALIFICATIONS

Work Experience

  • Relevant professional experience in the UN System or at the international level.
  • Experience in supporting teams in documentary heritage preservation projects or related fields.
  • Experience in working with state or private archives.
  • Relevant professional experience in facilitating communications for international projects/programmes.
  • Experience in working on promotion of cultural diversity and cultural expressions in Ukraine, including safeguarding and promotion of Jewish documentary and cultural heritage.
  • Expertise in the use of the following tools: Drupal-based web portals; mass-mailing platforms and Adobe Creative Cloud (CC) software, particularly Adobe illustrator and Adobe InDesign.
