UKMIS (UK Mission to the United Nations)

The British Government’s Mission to the United Nations in New York (UKMIS) has an exciting opportunity for an enthusiastic and driven individual to provide administrative support to the General Assembly and Human Rights (GAHR) section and act as Executive Assistant to the General Assembly Ambassador. The jobholder will work in an exciting team across the General Assembly and Human Rights teams. These teams sit at the heart of the UK Mission’s effort to manage United Nations General Assembly affairs and advance human rights objectives in the UN General Assembly’s Third Committee.

Though this position is mostly office-based there will be opportunities for remote working on occasion where business needs allow.  In this role you would be working in a diverse international environment working alongside UK diplomats, armed forces personnel and other country-based staff operating across the British Government’s network of Consulates and Government Offices in the United States. This network provides a platform for approximately 30 Government departments and agencies to conduct their work in the United States and is made up of over 900 staff with a rich and diverse background, skill sets, and experiences.  

The ideal candidate must have a can-do attitude. They will be an enthusiastic and flexible team player, able to deliver results quickly and accurately with great attention to detail and be able to shift priorities swiftly to a variety of different tasks.

Strong written communication skills are required. For the right candidate and when core tasks are prioritised and completed there will opportunities to develop policy skills and an understanding of diplomacy and multilateral work, including, time allowing, direct experience.

Roles and responsibilities:

Over the course of the year will include:

  • Providing administrative support to the GA and Human Rights team including information management, compiling briefing, part managing UK Mission shared inbox and incoming correspondence, issuing notes verbale, arranging official travel (flights, visas, etc.), arranging meetings and Mission events (including issuing invitations, issuing official communications between Missions, co-ordinating replies, booking refreshments etc.).
  • Support the GA Ambassador through diary management and assisting with tasks where required, including basic secretarial support. Provide support to other senior UKMIS staff where needed to cover leave/absences/busy periods.
  • Assisting with incoming visits, including by UK Ministers, senior officials and UK election candidates, by setting up programmes, organising logistics and arranging catering.
  • Office management for UKMIS sections: budget planning and monitoring, managing stationery and other office supplies.
  • Providing support for wider team business, particularly during busy times of year.
  • Providing administrative and organisational support in the run-up to and during the UN General Assembly High-Level Week in September, 3rd Committee session in October/November, and the annual session of the Commission on the Status of Women in March.
  • Providing support to the GA team on creating and updating forward look products;
  • Covering for the other members of the UKMIS Administrative Team as necessary; including some flexible hours.
  • Additional duties, tasks, and/or projects as assigned.

•    Substantive prior experience in a relevant field;
•    Excellent written and oral communication skills;
•    Track record of organisational skills, including managing multiple tasks and strong attention to detail;
•    Keen and flexible team player, ready to help all colleagues and sections when they need it;
•    Strong computer literacy and proficiency in Microsoft Word, Excel and PowerPoint;
•    Some knowledge of the UN system would be preferred but not essential.

Language: English
Level of language required: Fluent (written and oral)

Working patterns:

The British Embassy and its US Network embraces hybrid working, allowing its staff to typically work from home up to 2 days a week where scheduling allows.  We are an organization that also recognises the critical value of teamwork and we embrace and endorse collaboration by ensuring that all staff attend the office flexibly yet regularly.  
  
Normal working hours are 9:00am – 5:30pm.   While the UN schedule can be demanding and occasionally inflexible, the Mission’s leadership is committed to doing all it can to improve the work/life balance of its staff and encourages flexible working when possible. This is an hourly position and is eligible for overtime (non-exempt).

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
