Main purpose of job:

An opportunity to work in a varied, high-profile job at the centre of one of the biggest foreign missions in Pakistan – supporting the heads of CG1 and CG2 through managing diaries, securing external meetings; managing invites and engagement with staff. You will act as a central point of contact in and out of the mission, and provide strong administrative support to two team leads who oversee the work of x9 government departments and 100+ staff. There is also a chance to grow and develop other skills, such as leading small projects and initiatives to improve across the teams. 

Roles and responsibilities / what will the jobholder be expected to achieve?    

  • Manage the diaries of the head of CG1 / CG2
  • Set up meetings for the head CG1 / CG2 with internal and external contacts including from Government Ministries and other diplomatic missions.
  • Manage invites, seeking advice from relevant experts on attendance.
  • Leading on social events hosted by head CG1/CG2, and other smaller events including compiling guest lists, writing and sending out invitations, chasing RSVPs and arranging security. Part of the team working on events hosted by the High Commissioner including the annual King’s Birthday Party
  • Maintain the KBP and wider CG1 / CG2  Contacts Database in Outlook and pro-actively keeping this up to date.
  • Work with different teams to ensure work commissioned by CG1/CG2 head is delivered on time and any issues are identified.
  • TBC – oversee CG1/CG2 budget and ensure financial accounting procedures are followed
  • Oversee small scale projects such as office moves. Scope also to get involved in other elements, such as involvement in supporting programme or policy work to gain new skills and experience. This is flexible and based on the ambition / appetite of the individual.

The ideal candidate will be someone with excellent language skills in both Urdu and English, able to handle challenging telephone calls in both languages, and to write clear letters and emails in English.  They will need to be able to manage a busy workload, be agile, and prioritise effectively. Requests will come from all sides and will often be at very short notice.  The ideal candidate will therefore also need patience, diligence and discretion.  Experience in a busy office environment and working within a team would be a strong advantage.

  • Minimum two years of experience in office administration.
  • Excellent communication skills in English & Urdu – verbal and Written.
  • Able to deal politely and effectively with colleagues and contacts outside the mission.
  • Strong organisational skills and attention to detail.
  • Able to work well under time pressure.
  • Knowledge of Microsoft applications i.e. Excel/Word/Outlook.
  • Should be a team player and able to support colleagues.

Salary Details:

For British High Commission (BHC) candidates, the Country Based Staff BHC Terms & Conditions will apply.

For other than BHC candidates, salary will be ­­­­­­PKR 131,598 per month.

Please note that the current salaries are being dollarized and processed in USD (using a fixed corporate exchange rate from November 2022) to provide cushion against the current external market conditions. This is a temporary measure and is subject to review at regular intervals. The payroll will revert to local currency processing once the external market conditions are normalised.
