The British Embassy in Moscow is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for an Assistant Technical Services & Stores Manager.
The Assistant Technical Services & Stores manager role is integral to the operation of the Estates & Facilities Management Services (EFMS) team. The primary role is to assist the Technical Services manager via management of EFMS stores including – procurement/purchase (liaison with local suppliers), receipt, storage and release of supplies and materials into and from the store. Ensuring all materials are securely and safely stored, issuing stores to the technical and TWS teams within 24 hours, maintaining accurate records and managing the EFMS Cash Imprest within set guidelines.
Roles and responsibilities:
- Daily management and operation of the EFMS technical stores with over 6,000 products ranging from refrigerators to screws and nails.
- Sourcing, procuring, and ordering goods from a wide range of local suppliers.
- Conducting regular market research to ensure best value for money, securing the most advantageous offers on a long-term basis. Checking the bank details of suppliers in connection with sanctions via the Finance Team.
- Accurate maintenance of computerised stock records, receipting goods and noting their release, loading, and unloading supplies into and from the store in compliance with the applicable health and safety, industrial sanitation, and fire regulations. Ensuring accurate inventory of all stocks is always maintained and subject to surprise spot checks.
Monitor trends in the usage of stocks and recommend minimum/maximum stock levels to the Technical Services Manager (your line manager). Dispose of unwanted stock as per the guidance and right off procedures in liaison with the Technical Services Manager and Head of EFMS. - Ensure all goods are securely and safely stored, in compliance with regulations. The stores are kept clean and tidy, supplies are placed neatly on the shelves or in appropriately designated storage areas.
- Financial responsibility for both store equipment and cash Imprest (RUB 500,000), maintaining accurate accounting records, checking imprest balance daily, in readiness for regulatory surprise audit checks. Line manager for 1xS2 Stores Officer.
- Perform other duties deemed operationally necessary by the Technical Services Manager, Lead Technical Works Supervisor (TWS) or the Head of EFMS.
- Make a positive contribution to a healthy workplace in delivering the People and Platform Goals for the Russia Network.

- Proficiency in written and spoken in Russian and Basic in written and spoken English (C1 and B2 respectively levels according to the Common European Framework of Reference for Languages);
- Proven records in maintaining accurate accounting records, checking imprest balance daily;
- Experience of MS Word, Excel, and Teams applications;
- Knowledge of Health and Safety at work and/or a related qualification;
- Ability to prioritise tasks and manage multiple responsibilities.

This is a full-time and permanent contract of 5 working days, 35 hours net per week.
The monthly salary for this position is Rub 94,410 gross, AO level, paid 13 times a year.
The successful candidate will be subject to professional background check and security clearance.
