Foreign, Commonwealth and Development Office (Operations and Corporate Services)

Procurement

The worker will provide support to the area of procurement, finance and inventories.

Roles and responsibilities:

Procurement 50%

  • Acts as section requisitioner and receiver for purchasing and supplier maintenance processes.
  • Assist with compliance e.g. setting up new suppliers and reviewing existing supplier lists.
  • Manage the local contracts database, flagging contract expiration dates and aggregate spend with suppliers.
  • Procure services and goods for Embassy Day to day running like stationery, cleaning products, printer’s consumables, etc.
  • Support on procurement for broader Embassy activities.

Finance 30%

  • Responsible for downloading invoices, creating distributions sets and processing first stage of invoices to provide accurate information to Finance Officer.
  • Monitor invoices to detect any discrepancy or irregular charging.
  • Work as back up for Finance Officer when they are on leave.

Inventories 10%

  • Carry out the inventory and control of the various supplies that are in the Embassy according to the requirements of the Contract Manager.

Team Activities 10% 

  • Manage and update content on Corporate Services systems.
  • Support other colleagues within Corporate Services as and when necessary.
  • Occasionally supervise contractors working in our offices/properties.
  • Participate in Post crisis activity.
  • Work with teams and leadership to feed into Hub co-ordination work.

  • Minimum of a tertiary/technical level degree in any discipline.
  • At least 1+ year of experience providing administrative/clerical support in a corporate services environment.
  • Strong administrative and customer service skills and experience.
  • Experience of managing small budgets.
  • Proficiency in IT skills especially using Microsoft Word, Excel, PowerPoint in Windows 10.
  • Excellent communication skills in English and Spanish.
  • Customer service experience.

Applicants must have the legal status to live and work in Chile

  • Experience on requesting quotations, liaising with suppliers and supervising works.
  • Experience of working in an international organisation, agency or embassy.
  • Experience of procuring goods and services and managing and monitoring contracts.
  • Competence on IT software and internet services.

Working patterns:
Net working hours are 36 per week, Mon-Thu 09:00–17:30 (with a half-hour lunch break) and Fri 09:00-13.00. There is scope for flexible working patterns – remote technology will enable role holder to work from home on certain days, but the expectation is they will be in the Santiago office for at least 3 days per week.
