The Embassy is seeking to recruit a Corporate Services Team (CST) Intern to assist with numerous administrative tasks and projects. The jobholder will support administrative functions carried out within the Corporate Services section, assisting all areas with specific projects, such as import/export processes, transport coordination for all staff, drafting of Note Verbales, organising events within the CS team, supporting the Protocol team with managing different agreements for the Embassy. This is an excellent opportunity to learn about the innerworkings of an Embassy and to develop valuable professional skills through real-world experiences in a diplomatic setting.

The ideal candidate would manage their own time and workload effectively and be able to deliver the requirements of the job. Additionally, they would approach challenges, wins and failures as opportunities to learn. Being able to respond appropriately to feedback is also important as this is part of the continuous learning and improvement process.

Roles and responsibilities:

  • Providing attention to the general public, either in person, by email, or phone.
  • Researching and analysing different types of information.
  • Delivering reports in Excel, Word, PowerPoint to CS team leads.
  • Translating and drafting of texts/emails/documents in English and Spanish.
  • Market research.
  • Comparing different suppliers looking for the best option based on the Value for Money premise.
  • Providing support with embassy’s importation/exportation processes.
  • Providing logistics support in events, development and follow up with key contacts.
  • Managing incoming embassy calls and visits.
  • Managing agenda of conference and meeting rooms for CST, organizing logistics of events along with the handyman and other areas.
  • Assisting all sections from CST, such as Transport, Logistics & Protocol, IT, HR, Estates and Finance.
  • Supporting the organisation of embassy events when required.
  • Performing other activities required by the line manager in this position.

  • Customer service experience

Language requirements:

Language: English and Spanish required

Level of language required: Intermediate/Advanced

  • Capable of delivering results without supervision. Experience in Logistics and/or Protocol.

The successful candidate will be subject to a security clearance and professional reference checks.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
