The British Embassy is seeking a proactive and organized individual to join the Ambassador’s Office as an intern, providing essential Executive Assistant support. This is a rare opportunity to work directly with the Ambassador’s Chief of Staff and be at the heart of the Embassy’s operations.

In this role you will provide Executive Assistant support in the Ambassador’s office in the British Embassy in Lima. The jobholder will work directly with the Ambassador’s Chief of Staff. A core part of the job is coordination and running logistics for the Ambassador’s office, from meeting coordination to transport. That means there is administrative work – but done well it’s about prioritisation and communication, including with external and internal stakeholders at a high level. This is about understanding our strategy and helping deliver it through organising, prioritising and challenging as a member of the Ambassador office’s team.

Roles and responsibilities:

With the support of your line manager, you will be expected to carry out tasks including:

  • Event Management: Successfully coordinate at least three major events (KBP, Christmas Carols and Great Garden Party) ensuring all logistics are handled efficiently and guest lists, invitations, and RSVPs are accurately managed.
  • Meeting Coordination: Organize and manage logistics for weekly Ambassador’s office meetings, ensuring all participants are informed and prepared.
  • Translation and Communication: Provide accurate and timely English to Spanish translations for official documents and correspondence.
  • Meeting Readouts: Produce comprehensive and accurate readouts for internal and external meetings, ensuring they are distributed to relevant stakeholders promptly.
  • Administrative Support: Efficiently manage administrative tasks such as coordinating transport, processing correspondence, and managing the Ambassador’s calendar.
  • Drafting Formal Letters: Draft formal letters and Notes Verbales, ensuring they are well-written and appropriately addressed to different stakeholders.
  • Stakeholder Database Management: Maintain and regularly update the stakeholder database, ensuring all information is accurate and current.
  • Creative Planning Sessions: Participate in and eventually lead at least one creative planning session for event management.
  • Internal Communications: Develop and implement at least two internal communications products, such as newsletters or bulletins, to enhance embassy-wide communication.
  • Diversity and Inclusion Support: Assist in the development and implementation of at least one initiative related to diversity and inclusion strategies within the embassy.
  • Diplomacy and protocol: Provide specific support in diplomatic and protocol coordination for internal events.
  • Human rights and community development initiatives: Assist other Embassy teams (Political or CNI) in at least 2 meetings or events in specific required tasks as a learning activity.

  • Good organisational skills are crucial, with strong attention to detail. Successful applicants will be required to support the organisation of strategic meetings and events.
  • Excellent interpersonal skills, including experience collaborating and partnering with others and understanding other actors’ perspectives with empathy and patience.
  • Very proactive. We look for applicants with a desire to learn and develop professionally. We expect applicants to share their skills with the team and be confident in expressing their ideas.
  • Language: Proficient/confident in English & Spanish. You will be expected to contribute to meetings, facilitate meetings and to produce written communication in a good standard of English.

  • Relevant knowledge of topics related to protocol, administration and events
  • Experience of project management, administrative work, and/or budget monitoring.

Applicants must be eligible to live and work in Peru in their own right at the time of application.

This role is 30 hours per week, from Monday to Friday. The Embassy has core hours during which staff are expected to work from the office, but there is flexibility to enable applicants to complete their studies and it is normally possible to accommodate up to two days remote working in coordination with the line manager.

The successful candidate will be subject to a security clearance and professional reference checks
    
Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.   
    
Appointable candidates who were unsuccessful may be placed on a ‘reserve list. If during the reserve period of 6 months the same or largely similar role becomes available, that role may be offered to the second or subsequent candidate.   

The British Embassy is strongly committed to learning and development (L&D), with a ring-fenced budget for these purposes and all staff are encouraged to set aside time for L&D.  The jobholder will receive training according to the role, have full access to the UK Diplomatic Academy and online training resources and will be encouraged to take full advantage of both formal and informal learning events as and when available and relevant. The FCDO also has mandatory training that all staff members need to complete.

The FCDO operates an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.
