The British Consulate General (BCG) Milan is looking for a dynamic, customer focused, pro-active Part-Time Corporate Services IT Officer to join the team based in our Milan office.  

This is an exciting opportunity to join the team at the British Consulate-General Milan. The Consulate-General represents British interests in the North of Italy, with a focus on business relations and support to British citizens.

We are looking for a dynamic and adaptable new team member with excellent customer service skills and a can-do attitude to deal with multiple and often competing priorities. The role has a strong Information Communication and Technology (ICT) focus with some administrative tasks.  Your role will help ensure the smooth day-to-day running of the Consulate, consisting of approximately 40 staff, providing IT support to FCDO and PAGs colleagues across the office.

Supporting the Corporate Services (CS) Manager to provide efficient IT and corporate support across the team, your duties will vary each day and strong time management skills and the ability to prioritise the tasks within your work areas are essential.

You will be responsible for the maintenance of the office FCDO IT system and connections and will play an important role as the local point of contact for IT and telephony issues; therefore knowledge of Windows based hardware and Microsoft software is essential to the role.  Specialist technical IT knowledge is not essential for this role although it would be advantageous. FCDO IT system training will be provided.

As part of a wider Network ICT Team, you will report technical IT issues to the Foreign, Commonwealth & Development Office IT Help Desk who will support you with remote assistance.

As part of the CS Team you will be expected to support with some admin tasks as needed.

Roles and responsibilities:

IT:

  • Upkeep of Milan BCG IT, telecommunications and videoconferencing, liaising with the CS Manager and counterparts at the British Embassy Rome, proactively maintaining the office IT, reporting incidents and performance issues promptly and escalating through correct channels where necessary.

  • Assist the onboarding of new staff with IT.

  • Act as point of contact for local network providers.

  • Report technical IT incidents to the Foreign, Commonwealth & Development Office IT Help Desk located in the UK, and act as a point of contact for technical visits.

  • Maintain an accurate inventory of office IT equipment.

  • Act as a point of contact for promoting FCDO IT policies for systems and data handling

  • You will also be responsible for the effective running of the small locally managed IT and telephone systems (LMITS) for Partners Across Government on platform, specifically:

     

    Admin Support:

    • Occasional support to the Corporate Services Team as front office for guests,  general callers and visitors. Incoming mail scanning, parking permits, occasional liaison with host nation military;  

    • Raise requisitions and make credit card payments, check invoices in accordance with FCDO financial guidelines;  

    • General admin duties including preparation, despatch and receiving of the diplomatic bag;

    • Be part of the local crisis support team and, with the CS Manager and Network colleagues, preparing for the Post’s crisis response in the event of office IT failure.

    • Fluency in written and spoken Italian and English (at least C1 level under CEFRL or equivalent);

    • IT literacy, competent user of Cloud and MS 365 environment; familiarity with network cabling;

    • Highly-developed front-line customer service management skills acquired in a business environment, with a clear commitment to excellent customer service;

    • Ability to respond flexibly to changing priorities;

    • Good communication skills with ability to engage with different stakeholders;

    • Strong team player.

    • Previous experience of working in IT environments in government institutions.

    This is a part-time, permanent position for 23 weekly working hours, graded AA according to the FCDO grading structure. The monthly gross salary is € 1,540.00 with an additional payment of € 10.33 EDR paid 13 times per year (pro-rata), with double salary payments in June and December. If working less than a full calendar year, the additional salary payments will be pro-rata.

    Due to the nature of the job, remote working options are limited but some flexibility can be considered.

    Working hours are 23 per week Monday-Friday, between 09:00-17:00. The FCDO has a wide learning and development (L&D) offer, including dedicated L&D days and focus groups open to all within the wider network.  

    All staff are enrolled in the Italian state social security and pension schemes, with flexibility to pay into the employee’s private pension scheme if chosen.

    The appointment is subject to security clearance, professional background check and the successful completion of a probationary period of 4 months.

    All staff employed by the British Consulate are subject to Italian income tax (IRPEF). However the administration of these tax payments will vary depending on nationality.

    Staff recruited locally by British diplomatic missions in Italy are subject to terms and conditions of service according to local Italian employment law.

    Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Italy and be prepared to ensure that right remains throughout the scope of the contract.

    Learning and development opportunities: Some mandatory training required upon appointment including data management, security and health and safety.
