Main Purpose of Job:

Working alongside the SDI team in Japan as well as SDI and Scottish Government colleagues in Scotland, the job holder will manage Scotland’s presence in the UK Pavilion at the World Expo in Osaka, Japan. The job holder will co-ordinate delivery of the Scotland programme, ensuring it delivers against SDI’s trade & investment objectives and Scottish Government’s priorities to raise the profile and drive forward Scotland and Japan relations.  

As part of the Scottish Government’s sponsorship of the UK pavilion, the post holder will be expected to deliver three full days of Scotland-focused activity, including a number of events and activations which will largely take place at the UK pavilion on the EXPO site in Osaka. This will involve scoping business opportunities for companies; helping to co-ordinate and manage business conference sessions and inward trade missions involving Scottish companies; and managing the programme for any Scottish Government Ministers attending Osaka Expo. The post holder will also work closely with DBT and the UK at Osaka Expo Teams to identify additional opportunities to showcase Scotland within the wider UK programme.    

The post holder will be required to operate independently and at a senior level, across a wide range of organisations including Expo 2025, other contracting authorities and partners. In addition, there will be a need for regular engagement with a range of Team Scotland Partners – especially Scottish Government who are the sponsors of this role – and industry representative groups, universities, local authorities and other stakeholders.

What the Jobholder will be Expected to Achieve:

  • Establish and maintain direct relationships with the EXPO organisers, other contracting authorities and the Department for Business and Trade’s EXPO team in Japan to ensure the proposed Scotland activities are aligned with the wider themes of EXPO and the overall project plan for the UK pavilion and programme of activity. The postholder will gather information from stakeholders, negotiate timelines for delivery and advise senior leaders in SDI and Scottish government on how to optimize Scotland’s presence at the EXPO.
  • Develop and deliver three days of in-market activations over the six-month duration of EXPO.
  • Manage external PR and marketing agencies as required to co-ordinate messaging and activities in the lead-up to EXPO.
  • Host in-market visits from Scottish Government ministers and Scottish companies to Japan during World Expo in Osaka, making high value connections that will drive forward Scotland-Japan relations.
  • As capacity permits, support wider Scottish Government and SDI trade missions, delivery of events including exhibitions, seminars, market visits and supervision of programmes for Scottish companies (as required) to help them achieve their objectives and maximise the impact from Scotland’s presence during Osaka Expo.

Resources Managed (Staff and Expenditure):

  • Line management of one person (administrative / intern resource) (TBC)
  • Management of all budgets associated with Scotland activities to be delivered as part of World Osaka in Expo

  • Understanding of the international business environment
  • Strong project management and event management skills
  • A track record of strong collaborative project management of high-profile projects involving a variety of different partners
  • Ability to work well, under pressure, to tight deadlines
  • Strong communication skills
  • Knowledge of Japan and its business culture

Language Requirements:

  • Japanese: Native/fluent – written and spoken
  • English: Business level – written and spoken

  • 1 month salary bonus equivalents payable in June and December
    (Note: Salary may be reduced due to tax status)
  • Commuting allowance of up to JPY35,000 per month (paid on an actual cost basis)

Working Patterns:

Full time and office based. 37.5 hours per week.
