Main purpose of job:

The UK/US Defence relationship remains the world’s strongest bilateral defence, security and intelligence partnership. UK/US co-operation on intelligence, strategy and policy making, military planning and execution, technology and capability research & development is central to the UK’s national security and to maintaining a world class Armed Forces. The British Defence Staff United States (BDSUS) are the custodians of this relationship. As both a policy directorate of Security Policy and Operations in Ministry of Defence Head Office, London, U.K. and an integrated civilian-military element of a cross-government team in the British Embassy Washington, we set the agenda for driving the relationship forward.

This role will work within the Chief of Staff area, overseeing our portfolio of properties – providing effective handover between residents, identifying necessary areas of work, and identifying appropriate contractors to resolve issues. The role will also manage the c£100,000 budget allocated to looking after the properties. We are looking for a highly motivated individual who has a real passion for service delivery. The MOD Owned Property Coordinator should be able to operate comfortably in a high paced environment, have good communications skills and be able to think innovatively and creatively in their approach to problem solving. Whilst experience in an associated sector would be advantageous, it is not essential; applications from candidates with broader experience are also welcomed.  A positive attitude and work ethic will be paramount.

Roles and responsibilities:

  • Support the delivery of MOD accommodation services for the 14 Owned Properties across the DMV
  • Act as the initial customer contact point for all accommodation, appliance, and furniture linked enquiries ensuring the timely resolution of requests
  • Liaison with personnel and contractors to carry out service and inspect works completed by contractors
  • Maintain documents/records of service personnel in the owned properties
  • Allocate furniture to customers within the specified locations, ensuring timely delivery upon arrival and successful pick-up upon departure of personnel
  • Support personnel across the Network operating under the self-sourcing framework by providing policy and sourcing advice including lease approvals
  • Liaise with Finance Teams to arrange payments of for any accommodation related expenses, ensuring payments are done with in specified time frame
  • Maintain financial records regarding service calls and expenditures for each property
  • Check arriving/departing individuals in/out of the property.
  • Place purchase orders with vendors, monitor status, requisition, and receive goods and services accurately and efficiently in specified accounting systems
  • Liaise with FCDO Estates team on approach, and arrange small Embassy works.
  • Support wider Chief of Staff Team outputs as required

Resources managed (staff and expenditure):

Roughly £100,000 estates budget. 

Essential on arrival:

  • Must a citizen of one of the following: UK, US, Canada, Australia or New Zealand
  • Ability to multitask in a fast-paced environment with excellent organisational skills.
  • Good written and spoken communication skills in English.
  • Strong commitment to customer service.
  • Strong proficiency in MS Office Suite, including Access database, MS Word, Excel and Outlook.
  • Must have a current driver’s license and ability to visit multiple properties throughout the week as needed using own vehicle/transportation.

Working patterns:

Able to accommodate a varied working pattern to an extent, although there is a requirement to meet with people at properties during core working hours.  

This role is 40 hours a week but does not require set working hours each day as long as core meetings are met. 

This is a customer facing role, both internally within the embassy and externally with residents and contractors. However, there is some potential for homeworking and some potential flexibility on hours which we would be happy to discuss during the interview stage.

Appointable candidates who were unsuccessful may be placed on a ‘reserve list’. If during the reserve period of 6-12 months the same or a largely similar role becomes available, that role may be offered to the second or subsequent candidate.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
