How can you make a difference?

Under the overall guidance of the Chief of Supply and Logistics and the direct supervision of the Supply & Logistics Specialist, the Warehouse Assistant is responsible for managing the day-to­ day reception and dispatching of UNICEF supplies in the UNICEF Warehouse while ensuring that storage conditions and cargo handling are in accordance with product­ specific demands, and that appropriate security conditions are maintained to assure the safety of programme supplies.

As an advocate for children, you will have the following duties/tasks:

  • To receive and verify quantities, and quality of all incoming materials to the warehouse according to packing lists, waybills and or purchase orders and report discrepancies if any. Also to ensure that supplies are appropriately stored for easy identification and retrieval.
  • Following UNICEF policies and procedures, assess warehousing capacity including facilities, conditions of equipment, manpower, and processes. Propose corrective actions to the supervisor.
  • Use VISION to ensure appropriate documentation for receipt and release of materials: stores requisitions, waybills, and delivery notes and to keep records of same. Maintain files for all documents related to the warehouse operation including receipt & dispatch of goods.
  • In coordination with Logistics Assistant handle administrative issues related to safety, security and maintenance of the warehouse. Raise issues regarding needed equipment, repairs, or improvements with the supervisor and follow up on approved actions to assure the appropriate maintenance and good condition of programme supplies, as well as the security of the goods. Supervise the logistics of loading and unloading supplies for distribution.
  • Perform periodic physical inventory checks for all supplies in the warehouse to settle administrative Balances.
  • Prepare and submit monthly inventory reports on stock status: receipts, issues and stock balances by project and commodity.
  • Ensure that all supplies at the warehouse compound are clearly marked with stock cards & stored in a safe & appropriate manner. Ensure easy movement, ventilation, maintenance, and systematic arrangement of stock.
  • Supervise the logistics of loading and unloading supplies for distribution including at local suppliers for direct deliveries
  • Assess new warehouse facilities when required. If necessary, assist in the implementation of new warehouse facilities which may include installation and assembly of temporary warehouse structures.
  • Assess the availability of space and prepare stacking and storage plans to ensure appropriate storage and optimize the use of space.
  • Prepare stock reports. Monitor inventory to track trends and account for the inventory status from source to beneficiary. Carry out regular physical counts of inventory in the warehouse. Prepare documentation for commodity disposal through the Property Survey Board committee. Keep track of near to expiry supplies ensuring FIFO and FEFO approaches.
  • Report on irregularities, if any, in relation to receipt/dispatch of goods & security of the warehouse.

To qualify as an advocate for every child you will have…

Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to supply chain, business administration, contract/commercial law, or another relevant technical field.

For this position, a bachelor’s degree from a recognized academic institution in a relevant field may replace three years of related work experience. A master’s degree may replace additional two years.

Experience: A minimum of 5 years of relevant administrative experience in supply chain management, warehousing or related activity is required. Understanding of development and humanitarian work is an advantage.

Language Requirements: Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

Otherwise, the selection will be canceled.
