MEAL Assistant (INT10345)

WHAT WE ARE LOOKING FOR

We are looking for an energetic individual having quick learning attributes along with clear demonstration of humility in behaviour. This is a multi-task opportunity with Humanitarian Program Management Unit of Oxfam which requires good understanding of general office management support.

key Responsibilities

Under the supervision of Team Lead Humanitarian, the position holder will perform the following tasks:

  1. Technical Expertise
  • Coordinate and draft documentation, such as management meeting minutes and reports as well as supporting documents.
  • Liaise and regularly coordinate with implementing partner project staff to ensure smooth implementation of project.
  • To collect data and information, from the field and other resources for the use of reports and publications and maintain record.
  • Coordinate with Oxfam staff, partner staff and relevant stakeholders to organize workshops, capacity building interventions and meetings.
  • Support humanitarian team in processing partners payments and collect, manage database of payments.
  • Responsible to prepare the projects instalments of local partner after reviewing on financial and narrative reports.
  • Support Team Lead and coordinator in reviewing reports, comments & analysis including partner reports, financial and variance reports as and when required.
  • Support in advocacy and campaigning component of humanitarian and early recovery phases.
  • Gather content (including stories, articles, blogs, others) and share with Oxfam communication focal point.

 

  1. Leadership
  • Lead and take initiative in completing tasks assigned by the line manager and get things done in an effective manner at the partner level as well as Oxfam level.
  1. Management
  • Work closely with MEAL team on work plans, event management and planning, coordination with internal administration, finance and logistic department to arrange field trips, process requisitions and initiate and release partners contract agreements and instalments.
  • Support humanitarian team in program related activities, reports collection, review & analysis of the partner’s reports, field visit arrangements, travel arrangements, as and when required.
  • Support humanitarian team in consolidating the reports, whenever required and to collect information from partners for reporting purposes
  • Travel to field to get update from the partners about the project implementation and follow up from them on agreed work plan and milestones.
  • Manage records, information and communication through variety of channels.
  1. Support to Humanitarian MEAL Team
  • Support Humanitarian MEAL team in keeping track of and record keeping of the complaint response and feedback mechanisms.

 

  1. Other
  • Required to adhere to Oxfam’s principles and values as well as the promotion of gender justice and human rights
  • Understanding of and commitment to adhere to equity, diversity, gender, child safety and staff health and wellbeing principles

 

skills, experience and knowledge

Essential

  • Candidate with potential to support the department in administrative tasks and project implementation support activities with a minimum of 1 year experience in similar set up, projects support, Partner coordination and event management.
  • Bachelor’s degree in a related discipline preferably Anthropology, Sociology, MBA etc from a recognised University.
  • Fluent in Urdu and English.
  • Report writing skills and coordination skills.
  • Ability to take initiative in providing support to field visits and event arrangements.
  • Proven knowledge of computerized systems; high degree of computer literacy and word processing
  • Commitment to Oxfam gender policies and code of conduct
  • Interpersonal and influencing skills
  • Ability to work under pressure, prioritise well and commitment to meet deadlines.
